职位描述
Job Purpose:
Provide the clients with professional reception services and assistant services, to maintain the workplace in the proper conditions of efficiency and convenience
Key performance areas:
RECEPTION SERVICES
1) VISITORS
· Ensure respectful attention to the visitors consistently, and guide them to complete the registration procedure properly with the required supporting stuff.
· Do seriously verify the visitor's information and visiting purpose with the responsible Sandvik employee, to prevent the company and colleagues from the uninvited guests and gate-crusher
· Host and hold the visitors in the reception area comfortably, until get them picked up by the responsible Sandvik employee.
· Escalate the unwelcome visiting case to the superiors, in case of the status begin going out of control.
2) PHONE CALLS
· Get the phone calls answered timely and well-spoken, and then transferred to the right person or right department at least.
· Maintain the contact list by monthly update, and ensure its accuracy and completeness.
3) POSTAGE
· Maintain sending and receiving of the business postage.
· Deal with the post office and express companies to ensure timely and secure delivery.
· Keep the postage in the secure position with strict hand-over procedure.
· Keep the accurate and complete records for tracking.
4) TAXI
· Assist in calling the taxi and navigation, as per the request from visitors and colleagues.
5) SUPPORTING STUFF
· Ensure availability and effective use of the supporting stuff, including but not limited to:
· Visitor badges,
· Temporary employee badge (with access authorization),
· Register / computerized registration system,
· Site orientation brochure (location map, address, key phone numbers, and EHS cautions)
· Company umbrellas.
6) ASPECT
· Maintain the reception desk around in the shipshape condition, and keep the stuff in order.
· Adhere to the office dressing code properly, and wear the uniform if provided by the company.
ASSISTANT SERVICES
1) MEETING COORDINATION
· Ensure effective on-line booking of the meeting rooms, and coordinate the requirement upon the real usage.
· Ensure availability of the meeting facilities as follows, by conducting the daily check consistently.
· Telephone set / Video conference system (with the remote controller),
· Projector (with the remote controller) and Screen,
· Power extension and signal cable,
· White board, flipchart, mark pens and eraser.
· User brochure and Satisfaction questionnaire
· Do support the important meetings/events with extra preparation works, as per request.
· Assist the organizer in the banquet reservation, quick meal and tea breaks.
· Keep the meeting rooms in the shipshape condition with Janitor's support.
2) HELPDESK SERVICES
· Act the Helpdesk role to coordinate the maintenance and repair works, to ensure the availability of the workplace and facilities, by conducting the following activities:
· Answer the requests from the clients and key stakeholders, and take actions.
· Engage the janitors and security guards to actively report the findings.
· Deal with the property management company (or landlord) for troubleshooting.
· Assist the Admin Supervisor in supervising the contractor's maintenance and repair works.
3) PERSONAL ASSISTANT SERVICES
· Assist Sandvik employee in the particular business matters, as per request.
· (for example: name cards, printing, copy, and so on)
4) PURCHASE ORDER SUPPORT
· Complete the POs and payment process for the procurement activities related to the Site Administration services.
OFFICE CONSUMABLES
· Ensure the Office Supplies, Pantry Supplies and Bathroom Supplies uninterrupted with the quality and economic consumables.
· Keep the storage in the controlled position and make all distributions recordable.
· Assist the Admin Supervisor and end users in cost control, by monitoring the POs and real consumption. Ensure availability of the Office Automation Facilities, Pantry Facilities and Bathroom Facilities, by conducting the daily check consistently.
1) OFFICE SUPPLIES
· Consumables: stationery, facial tissue, paper towels, masks and so on.
· Office Automation Facilities: MFDs (Multifunctional Devices for copy, print, fax and scan), shredders
2) PANTRY SUPPLIES
· Consumables: coffee bean, tea, milk, sugar, and drinking-water.
· Pantry Facilities: coffee machine, refrigerator, microwave, disinfection cabinet, and water machine.
3) BATHROOM SUPPLIES
· Consumables: soap, paper towel and toilet papers.
· Bathroom Facilities: water heater, hand dryer and automatic flushing devices.
OTHERS
1) KEYS SAFEKEEPING
· Keep the door keys securely (applicable for Zhabei office only)
2) FIRST-AID KITS
· Maintain the first-aid kits refilled and replaced timely, to ensure the availability.
3) ASSIST THE ADMIN SUPERVISOR IN THE FOLLOWING TASKS
· Supervising the performance of Security Services and Janitor Services.
· Weekly inspection for the landscaping and indoor greenery.
· Regular security inspection
Your profile:
· Well communication skill in both of English and Mandarin.
· Skillful in use of the computer, office software, and office automation facilities
· Proper understanding of service job, and well customer orientation.
· Solid ownership and proper result-driven
· Proper understanding of team work, and be willing to go for Win-Win
· 1~2 years of experience in the positions related to reception services.
· Experience in the MNCs is preferred
· University / College degree
