职位描述
Primary Responsibilities:
Admin:
A.Administration
Cleaning & Landscaping
Responsible for sourcing & selecting qualified cleaning & landscaping supplier. Ensure office area and shop floor always under clean conditions. Ensure Company landscape under well condition.
Security
Responsible for sourcing & selecting qualified security supplier. Ensure company always under secure conditions.
Meal
Responsible for sourcing & selecting qualified meal supplier. Ensure meal quality while controlling cost at a reasonable and market level.
Office Supplies and Miscellaneous
Responsible for sourcing & selecting qualified suppliers for drinking water and other office supplies. Manage various office supplies to ensure they are supplied and maintained in a timely and orderly manner.
Key Management
Manage company keys to ensure at least one set kept in key box of all company keys, including keys to all buildings, office rooms, etc. Maintain and update key list and ensure its accuracy.
Hotel, Air/Train ticket, Car Management
Ensure hotel reservation, air ticket a/o train ticket booking, rental cars arrangements, etc. go on smoothly for guests and employees in travel where necessary.
Visa Application/Invitation Letters
Handle passport, visa and/or invitation letter applications for expatriates, guest and employees in travel.
Customer Visit
Facilitate customer visit, inform relevant staff for prior preparations and make necessary administrative preparations on the day of visit.
Employee Activities
Take the lead to organize employee activities, including annual dinner, sports, outing, games, etc. to enhance employee engagement.
Others
1.Meeting room arrangement and management. Ensure meeting rooms are well organized and managed.
2.Process control and policy development regarding Administration area
3.Assists in special projects and ad hoc assignments whenever required.
B.HR Ops
1.Liaise with labor/personnel bureau and HRD of SIP and handle employment registration, personnel files/dossiers transferring, employee separation, and other formalities as required by the local authorities.
2.Employees profiles management.
3.Administer and provide accurate and timely HR monthly reporting such as staff list, employee attendance records, staff leaves, overtime work, etc.
4.Set up an Employee Information Database by using MS Excess or Excel and administer internal personnel files to maintain a consistent and updated file filing system.
Qualifications Required:
1.College or above
2.Above 3 years of relevant experience
3.General knowledge about office administration
4.Fluent English in both oral and written
