Job Purpose:
The primary responsibility of this role will be to ensure the smooth and efficient administrative support to GM.
? Major Responsibilities:
1、 Diary and Meeting Management:
? Provide timely, effective extensive diary management by prioritizing and organizing meeting with internal and external stakeholders;
? Act as a ‘gate-keeper’ through understanding the requirements/ demands of GM and through this understanding decide which scheduled events, meetings and calls are most appropriate for allocation of GM’s time ;
? Set, monitor and maintain deadlines
? Brief, coordinate and provide all key documents to GM to ensure all relevant information is provided prior to appointments, meetings, video/teleconferences
? Preparation of meeting Agendas and recording and distribution of meeting minutes
2、 Travel and Event Coordination
? Coordinate and organize high level executive/ client events, meetings, workshops, seminars and related forums including arranging attendance of participants, venue including parking, transport and catering where appropriate and preparing and distributing relevant documents
? Extensive co-ordination of all international and local travel arrangements for GM;
? Reconcile travel bookings performed by the Travel Management provider to ensure compliance with the travel policy and contract
3、 Professionalism and Confidentiality
? Maintain a high level of confidentiality in all dealings with GM both professionally and personally;
? Safe keeping and systematic storage of GM’s files and records, with a high standard confidentiality
? Assist GM’s families’ affairs including the holiday arrangement, child related matters etc.

4、 Administration Support
? Follow-up of all incoming mail and subsequent delegation to Regional GM etc.
? Deal with GM’s expense reimbursement, office supplier and facility maintenance.

Requirements:
1. Bachelor degree, majored in English or admin;
2. More than two years work experiences as GM’ assistant;
3. Good command of verbal and writing English;
4. Proficient computer skills (all Microsoft office programs);
5. High sense of responsibility, honest, hardworking, comprehensive and pleasant;
6. Self-motivation and able to work with good level of independency.
