职位描述
? Support Administrative Services – To provide an efficient administrative support to the General Manager and all his/her leadership team (direct reports) and ensure that appointments are noted, complete all task within required deadline, expedite where necessary and document systematically filed and easily retrieved.
1. Schedule appointments and ensure they are properly coordinated
2. Type reports, documents, correspondence where required.
3. Arrange flights, hotel bookings for the General Manager and leadership team.
4. Coordinate meeting facilities to ensure all logistics are arranged, prepare minutes of meeting and follow up on all outstanding actionable items
5. Prepare presentation materials where applicable
- Performs full clerical, administrative and general office duties of a responsible and confidential nature.
- Communicates principal's instructions or desires to various LT Managers
- Frequent access to highly confidential information and files and contact with all level within the organization.
- Answer telephones, screen calls and take messages so callers/visitors are dealt with promptly, courteously, and accurately
- Respond to more complex or escalated enquiries from other secretarial staff.
- Accurately transcribe, type, format, and proof read documents (e.g., correspondence, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
- Coordinate meetings. This may include scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available, such as; equipment, food, and drinks.
- Perform other administrative tasks using independent judgement and discretion.
? External Communication – To project a professional image to internal & external customers and suppliers so that high standards and expectations are maintained.
? Internal Communication – To maintain teamwork and promote harmonious relationship in the work environment
Requirements:
? Over 3 years working experience in similar position;
? Bachelor degree with strong English language capabilities
? Extensive diary management assistance experience
? Fully conversant with an electronic diary system
? Proactive with regards to identifying and solving problems
? Able to respond quickly to conflicting priorities
? Excellent IT skills, including Word, Excel, PowerPoint, Outlook
