职位概述
Support the whole Marketing Department from the following aspects: Office administration; Department expense coordination; Storage management; Events supporting.
岗位职责
1. Scheduling the weekly meetings and reserving a specific location; sending meeting notifications and details to colleagues; making necessary preparations for the conferences; completing the meeting minutes.
2. Participating in corporate performance management, attendance, etc.: marketing department attendance include:1, staff attendance records; 2, helping colleagues fill in the attendance form; 3, Recording the work hours and overtime hours; 4, assessment of possible mistakes in deduction of work hours and overtime hours; 5, sending the details to the Human Resources department on time.
3. Managing and organizing the supply of office stationery and office facilities.
4. Assisting with the job exchange between new and old colleagues.
5. Update all contracts and associated correspondence.
6. Coordinate mailings to clients and patients.
7. Assist in monthly updates of membership
8. Update and maintain membership database.
9. Maintain members patient statistics
10. Familiar and understand clinical scope of service, service process and service content.
11. Support overall promotional events or campaigns with other marketing team members
12. Expense Management, formulating the weekly payment schedule and sending it to the financial department on time.
13. Arranging the contracts and receipts including applying for the approval of CEO for each contract (should communicate with applicant for details); placing the documents on file to close the procedure.
14. Informing the vendor who is receiving the cheque
15. Arranging the receipts and applications for reimbursement for the manager of marketing department.
16. For storage management, planning to build up the current account for the products.
17. For products' movement from the storage, planning to complete the procedures for the EX-warehouse.
18. Preparing promotional materials and products to be displayed, preparing gifts
19. Placing the promotional products at the right positions within the hospital; Pasting promotional posters and event notifications and taking them down afterwards
20.Others as assigned by department manager
任职条件
1. Bachelor Degree
2. Fresh graduate or 1-2 years experience preferred
3. Good oral and written English
4. Be skillful at Microsoft office software
5. Good at communication and coordination
