Role and Responsibilities
To form part of an international team dedicated to developing a new plastic moulding manufacturing facility in Hefei. The technologies utilised will be Extrusion Blow Moulding (EBM) and Injection Stretch Blow Moulding (ISBM).
The GM Assistant will work directly with the GM (Western) and take a lead in the company’s admistrative tasks.
The Personal Assistant will need extensive knowledge of the organization. They will be expected to learn who key personnel are (both external and internal) and understand the organization’s aims and objectives.
The GM will rely heavily on the Assistant, trusting that work will be handled efficiently in a manner that will reflect positively on them and the organization. Professionalism, discretion and confidentiality are therefore essential attributes.
The Personal Assistant often acts as the GM’s first point of contact with people from both inside and outside the organization. Typical work activities include:
? Real time verbal translation in meetings – both internal and external.
? Translation and co-ordination of documents and company administrative tasks
? Meeting and greeting visitors at all levels of seniority.
? Travel and Hospitality arrangements
? Dealing with incoming email, faxes and post, often corresponding on behalf of the GM;
? Taking and distributing meeting minutes, following up on behalf of the GM to ensure tasks completed
? Carrying out background research and presenting findings;
? Producing documents, briefing papers, reports and presentations;
? Organizing and attending meetings and ensuring the GM is well-prepared for meetings;
? Liaising with clients, suppliers and other staff;
? Devising and maintaining office systems, including data management, filing, etc.;
? Provide advice / comments / insight / alternative points of view to the GM
? Other tasks and activities to support the GM
In addition to supporting the GM, the Assistant will also have their own personal workload and responsibilities. The scope of the Assistants role can be extensive and additional duties may include:
? Carrying out specific projects and research;
? Dependent upon experience, HR / Purchasing /Financial tasks
? Being involved in decision-making processes
Qualifications and Education Requirements
? Minimum requirement of a good degree
? MBA or Masters is a bonus
? Overseas education is a bonus
Work Experience
1-5 years working experience in:
? HR / Admin / Finance / Hotel
? Experience in a western environment a bonus
Skills / additional requirements
? Excellent English Skills (both verbal and written)
? Detail / Results orientated
The role will require a significant level of dedication and flexibility, in terms of:
? Flexibility in working hours (to support conference calls in multiple time zones)
? Occasional need for best efforts in crisis situations
? The ability to maintain confidentiality of information
? The ability to interface professionally with all levels of people
? Should have a love of learning, be naturally curious and analytical in nature
