Position Title: Freight Specialist/Administrative Assistant
Location: Plaid Far East, Shenzhen, China
Experience: Office administration / international business experience
Job Description:
This position is a multi-functional job in the Purchasing Dept of Plaid reporting to the Vice General Manager. The primary responsibilities are; freight coordination between the Plaid US buyer or end customer, the manufacturer, and the shipper. This position also supports the office vice general manager in daily operation of the office.
Qualifications:
- BA or BS from an accredited institution.
- Minimum of 1 years experience in a related industry, preferably with an international company.
- Good spoken and written English with proficient Mandarin.
- Computer knowledge, of Excel, Word, PowerPoint, e-mails, etc. and ability to learn software related to freight tracking and inventory management
- Passport and ability to travel throughout Asia, Europe and USA.
Responsibilities:
- Coordinates shipments between Plaid, vendor, and forwarder, to ensure on time deliveries are made to US ports.
- Understand freight structure, and able to calculate the freight for “Less than Container Load) (LCL) /Full Container Loads (FCL) / and Air shipments.
- Contact suppliers on a weekly basis for the upcoming week shipment, to ensure On Time Delivery (OTD) and report to US buyers.
- Handles all direct shipment booking, paperwork from manufacturer to Plaid’s customer.
- Daily report on vendor PO confirmation status.
- Monitor new vendor setup process, and maintains a master vendor data base.
- Maintains full understanding of the Plaid Vendor Manual, Vendor Website information and Plaid order confirmation procedure to confirm compliance and to help educate suppliers.
- Collects New Product Data and Carton Dimension Report.
- Office staff timing management.
- Reports and tracks expenses for all office personnel.
- Files document & data including contracts, catalogue etc.
- Scheduling and appointment setup for manager’s trips, arrange hotels & transportations.
- Maintains sample approval storage.
- Manages capital asserts associated to the office and stationery.
- Responsible for office reception and phone reception.
- Other affairs by assisting to the General Manager and support of office personnel.
- Work with third party on office network maintenance.
