Responsibilities:

Facility management

l   Project planning and management of office builds, refurbishments, moves and the cyclical redecorations (external and internal) management;

l   Coordinate the involvement of the catering company and liaise with the customer service team on the need for supporting school operation;

l   Assist in preparing budget for all administrative related items and third party's expenditure.

l   Work closely with the external Facilities Service Provider ensuring repair and maintenance, housekeeping etc works orders are carried out effectively and efficiently and the school campus is kept in good state

l   Ensure the school premises and facilities are adequately maintained, inspected, serviced and compliant with the local legislation and regulation. Report any defects or irregularities to the Head of Operations

l   Monitor maintenance contractors’ performance in cooperation with the Facilities Service Provider and report any deficiencies to the Head of Operations

Coordination of administrative service and External relations

l   Work with the Head of Operations to plan key administrative projects;

l   Set up and improve the Standard Operation Procedure (SOP);

l   Provide clarification and training on SOPs to all internal and external stakeholders

l   Support external relations team to establish positive relationships with relevant government and community agencies;

l   Ensure school license compliance in line with Harrow’s overall vision, ethos and mission;

l   Ensure prompt communication of government rules and regulations to relevant stakeholders;

l   Prepare for the inspection of each department.

Health, Safety & Security

l   Provide safeguarding training to external providers

l   Ensure that all external providers staff are safe to work in a school environment with relevant police checks and update details for the single central register

l   To be responsible for ensuring all premises within the incumbent's remit are adequately maintained, inspected and serviced to ensure compliance with legislation.

Clinic

l   Oversee school doctors and nurses’ performance and ensure a smooth clinic operation in school;

l   Communicate with school doctors and nurses and ensure school policies and requirements are followed up properly;

l   Assist school doctors and nurses to make standard operation procedures and implement it in Harrow;

l   Hold periodical meetings with school doctors and nurses and draft the monthly reports.

Other

   Tasks as assigned by the Head of Operations to support the success of the Operations Department.

Requirements:

Experience

• Bachelor’s degree in Business Administration, or related areas
• Minimum 5 years proven operation management and client relationship management experience or equivalent

Professional skill and knowledge required

• Excellent organizational and communication skills, including prioritization of work and time management;
• Experience of developing and maintaining information systems to support effective working;
• Experience of negotiating with external suppliers to secure the best service deals;
• Sound understanding of Health & Safety regulations and practice;
• Excellent English and Mandarin language skills.

Harrow Shenzhen is a collaborative project between Authority of Qianhai and Harrow International Management Services, with Harrow International School Shenzhen to be opened in 2020 and the bilingual Harrow Innovation Leadership Academy to be opened in 2021.

Located in the Qianhai Cooperation Zone, Harrow International School Shenzhen covers an area of ??40,000 square metres and has a total construction area of ??approximately 139,000 square metres. The school has obvious transportation advantages, located in the main urban roads adjacent to Metro Line 5. The campus will be built to cater a maximum capacity of 1,000 students with facilities that cater to the needs of a K-12 full-time school with boarding.

The campus design integrates Harrow’s values with Qianhai’s spirit. The school adopts the concept of “land sharing”, with a lawn area where the main sports grounds and outdoor activity spaces are located, energising the whole campus with a vibrant atmosphere. The British lawn landscape is an inspiration from "Harrow on the Hill".
