Duties and responsibilities

? Ensure effective and efficient department activities through the performance of administrative office and secretarial duties which generally appointment and meeting scheduling, travel arrangement, filing, telephone call handling and screening, greeting of visitors, and PC operation, including EBMS;
? Review incoming and outgoing correspondence daily, exercising independent judgment in selecting and interpreting information. Delegate to appropriate department staff as needed, and resolve difficulties in the absence of the Marketing & Sales Manager;
? Prepare all sales and marketing materials, including sales proposals, letters, memos, complex documents, reports and/or surveys, utilizing a good command of structure to ensure the accuracy of documentation by operating common office software packages and EBMS where necessary;
? Maintain accurate and up-to-date version of EXPO’s client database;
? Maintain procedures for purchasing requisitions and other information regarding office operations;
? Coordinate and communicate with other secretarial personnel to efficiently manage the work flow of the office, in order to maximize the effectiveness and efficient operation of the Marketing & Sales department;
? Act as a back-up for departmental staff in answering calls while they are unavailable, and report messages to them promptly; and,
? Perform other related duties as assigned by Marketing and Sales management.

Requirements, knowledge and experience

? Formal training with a minimum of two (2) years of experience in secretarial and administrative duties;
? Enthusiasm and responsiveness relative to being part of EXPO’s team and to meeting, at a minimum, the duties and responsibilities of the position;
? Absolute capability of, and commitment to, maintaining confidentiality relative to EXPO’s information;
? Excellent administrative, secretarial, handling and communication skills;
? Able to work harmoniously with people in all levels of governmental, political, business, industry and staff positions;
? Excellent time management skills and ability to prioritize work-flow is essential;
? Ability to work with minimal direct supervision and successfully complete multiple tasks in required time-frames;
? High competence in the use of computer applications including Microsoft Word, Excel, PowerPoint and Outlook; and,
? Excellent command of both spoken and written Chinese and English.
