Position Overview
This position will provide comprehensive shared administrative and facility services for the Shanghai and remote site building and occupants.
Job Responsibilities
Leadership - 30%
1. Lead the administration team to provide effective and efficient Administration services.
2. Work with business functions and local leaders/occupants to achieve win-win solutions
3. Propose and implement continuous process improvements
4. Promote safety culture
5. Ensure the team embraces compliance in daily services and contact with external parties.
Administration Operations - 70%
1. Manage the Shanghai admin function and team.
2. Manage all aspects of facility operations (reception, replenishment of consumables, , canteen, shuttle bus, company cars, site security, , badges, etc.) in an efficient and economical manner.
3. Lead or support administrative projects and enhancements (i.e. expansion, renovation improvement, or moving projects)
4. Responsible to manage costs within budget. Share financial data to leaders as agreed.
5. Support management of admin service contracts and renewals, including vendor negotiations if required. Supervise and/or evaluate vendors ensuring delivery of qualified service.
6. Ensure processes and policy are created and maintained to ensure consistent and satisfied Administration service Enforce processes, policies & standards.
7. Collaborate with EHS teams to support EHS activities related to the site. Solicit EHS technical advice as and when required.
8. Own and proactively work to resolve site EHS concerns or findings.
9. Administration team development, goal setting, resource and work/task assignment.
10. Organize public activities (meetings/town halls) and events.
11. Liase landlord to maintenance and repairs facilitates such as elevators, mechanical and HVAC, cleaning.
12. Ensure two-way communication between administration function and managers / associates, provide most satisfying administration service and balance different needs.
Education:
Bachelor degree with at lesast 3 years experience in MNC.
