Role: Executive Assistant

The Executive Assistant is a skilled administrative professional who provides a wide range of support services to the CEO. The main responsibility of the Assistant is to manage the schedule of the CEO and ease administrative workload while supporting the CEO to achieve business goals.

This position is privy to confidential information and as such, requires diplomacy and discretion.

Responsibilities

· Extensive international diary management for the CEO across numerous time zones, assistance with time keeping, and proactive follow up of client meetings
? Frequently organize complex multi-destination worldwide travel, visa’s, ground logistics, and accommodation - often last minute, liaising with travel agents to find the best option
· Daily liaison with the CEO in regards to calendars, ‘to do’ lists, and current day / week priorities
· Liaise with management and staff to coordinate both internal and external meetings, conference calls, events and group travel
· Build rapport, and work together with admin in global offices for colleagues visiting from overseas
· Assistance in drafting / creating and editing presentations, documents, briefing notes and correspondence
· Preparation, reconciliation and submission of expenses in a timely manner (various currencies)
· Meeting and greeting clients, booking meeting rooms, AV equipment, and organising catering
· General admin duties:
o answering calls, printing and binding presentations, filing, scanning, faxing, photocopying, arranging couriers, booking taxi’s
o maintain an accurate filing system, including archiving and destruction of confidential documents
o undertaking research – always looking out for more efficient processes and cost effective alternatives

Skills & Experience

· *Insanely* organized – no compromise – you always need to be three steps ahead with a Plan B, Plan C etc. and you have excellent attention to detail
· Comfortable with unusual working hours (often to coincide with another time zone), high pressure and high demands – you are willing to get stuck in and go beyond the call of duty
· Industrious and self-motivated – you have an overabundance of common sense, super proactive and have a collaborative style
· Determined and resourceful – you can deliver the undeliverable, present only solutions (never problems or obstacles) and can turn complexity into simplicity, even under pressure
· Extremely strong social and interpersonal skills – quietly robust, patient and empathetic, you are skilled in managing expectations
· Excellent communication skills – you can express yourself concisely and effectively in both written and oral formats
· Loyal and committed – discreet and totally dedicated. You will be confident, warm and approachable, and happy to roll up your sleeves to get the job done!
