Receptionist/Administrative Assistant
办公室接待/行政助理


Location: the Bund Center. The work will be related to the media.

Responsibilities:
职责

* Establishing standards and procedures and ensuring they’re maintained and current
* 建立规章制度并确保它们有效落实

* Organizing office operations and procedures
* 组织办公室内业务及规程

* Orienting and training employees regarding office systems and procedures
* 指导与培训员工关于办公室的体系及规程

* Assisting in preparing financial information and issuing Purchase Orders
* 协助准备财务信息及发行采购订单

* Controlling correspondences via email, phone, fax, and in person
* 独立管理来函,包括邮件、电话、传真

* Liaising with other agencies, organizations and groups
* 与其它代理商、公司、集团保持联系

* Maintaining office equipment
* 维护保养办公室设备

* Assigning and monitoring clerical and secretarial functions
* 分派及监督办公室文员的职能

* Designing filing systems
* 设计文件档案系统

* Ensuring filing systems are maintained and up to date
* 确保文件档案系统运行及更新

* Ensuring protection and security of files and records
* 保护文档及记录的安全

* Ensuring effective transfer of files and records
* 确保文档及记录有效传输

* Ensuring personnel files (Local & Foreign staff) are up to date and secure
* 确保当地及外籍员工的个人档案的更新及安全性

* Preparing routine correspondence and interacting with suppliers and buyers
* 准备日常通信联系以及与供应商与客户的联系

* Planning and implementing office systems, layout and equipment procurement
* 策划并搭建办公室系统,设计和采购办公室设备

* Checking, maintaining and replenishing inventory levels
* 检查、 维护和补充库存

* Payment of bills via electronic transfer or in person
* 交付各项账单

* Coordination of travel and meetings for all employees
* 统筹管理所有员工的行程和会议
