Key Responsibilities:

A: Provide overall secretarial and administrative support to the Heads of departments:
? Handle daily correspondence, minutes, reports and other documents.
? Manage the diaries and appointments for Heads of departments, including taking message and acting on or following up on those messages when necessary, as well as setting up conference calls when required.
? Formatting and editing correspondence and presentations when required.
? Scheduling appointments and coordinating arrangement for meetings.
? Prepare travel schedule and make flight/hotel bookings accordingly, as well as local transfer arrangement, financial arrangement when required.
? Act as an interpreter when required
? Maintain personal records such as leave application forms, medical claims, expense claims…
? Arrange local car pickup and car chartering when required for company visitors.
? Arrange invitation letters for oversea executives and invitation letters for various event.
? Book necessary stationary.
? Contact their apartment landlord and building management for rental and other ad hoc issues like utilities, tear and wear maintenance etc…

B: Other business function:
? Travel and appointments, meetings arrangements for Asia SMT, UK SMT when they travel to China.
? Coordination with other Pas for Asia SMT and UK SMT trips.
? Arrange and assist the travel visas for all foreign staff based in Shanghai
? Arrange and coordination of events e.g. - supplier event, conference

C: Office administration:
? Manage driver’s schedule and coordination the usage of company car.
? Act as a backup of office administration when required. e.g. - make domestics travel bookings, assist on the reception work when the Administration Assistant is absent.
? To assist any ad. hoc. Office admin project

Requirements:
? University or diploma graduate in English/Business Administration preferable
? 3 years or above relevant experience with strong organization skills preferred
? Good communication and interpersonal skills, organize and administrative skills
? Good English level in terms of verbal, listening and written
? Ability to work independently and proactively
? Proficiency in MS Office tools: PowerPoint, Excel and Word
? Time manage and presentation skill
? Ability to handle stress and to prioritize tasks and information to meet deadlines
? This position is often privy to confidential information and as such, requires diplomacy and discretion
