Job Role: Administrative Assistant,

Line Management of Role Title: Operation Director

Main Purpose of Position:

In general, under varying levels of guidance and direction, personnel at the administrative assistant level provide communication and administrative support, office management, and schedule management services to a variety of directly supported customers. Administrative Assistant (AA) personnel may also be responsible for various specific activities in support of these same or a wider base of customers.


Objective 1

Provide Administrative Support

All personnel at the administrative assistant level can be expected to perform a variety of administrative support. These may include:

  • faxing documents
  • Photocopying, including complicated jobs such as multipage, divided, tabbed, etc.
  • maintaining department files, including department personnel files
  • sorting and distributing mail
  • maintaining databases/spreadsheets for departmental purposes
  • serving as a backup to other administrative personnel
  • serving as a resource to the area; explaining corporate and departmental procedures

Objective 2

Provide Office Management

All personnel at the administrative assistant level can be expected to perform a variety of duties related to ensuring the smooth flow of the daily operations of a given office area. These may include:

  • coordinating projects delegated to other areas (duplicating, travel services, mail services, etc.)
  • take care of receptionist related job
  • operating and maintaining a variety of office equipment
  • maintaining and ordering an inventory of supplies, utilizing computerized ordering systems
  • processing accounts payable/invoices
  • answering phones and directing incoming requests/initiating contacts as required
  • quickly responding to the needs of investigators involved in clinical studies

Objective 3

Provide Schedule Management

All personnel at the administrative assistant level can be expected to perform a variety of schedule management activities. These may include:

  • maintaining the daily calendars of one or more department members - adding/deleting entries
  • updating availability, authorizing changes to dates/locations, etc.
  • scheduling ad hoc and/or recurring meetings
  • working with travel services vendor and traveler to arrange and confirm travel plans
  • arranging details for visitors to the area

Objective 4

Special Projects

In addition to their regular responsibilities, all personnel at the administrative assistant level can be expected to take on an occasional special project, such as making cold call for project needs


JOB REQUIREMENTS

Minimum Requirements

·Bachelor Degree

·Training - administrative experience or equivalent training

·Good communication skill

·Written communication - proficiency with the English language; ability to clearly compose and accurately edit and proofread

·Verbal communication - ability to communicate clearly and interact professionally on all levels

·Computer skills - ability to utilize hardware and software applications to produce a variety of type of documents (including technical and/or scientific materials

·Ability to maintain confidentiality - job has exposure to confidential information

·Ability to work in a team environment

·Ability to work under pressure

·Enthusiasm for work

·Problem-solving skills - ability to make decisions when faced with clear-cut alternatives

·Customer focus

·Organizational skills
