职位描述：
PROFILE SUMMARY

We are looking for an experienced HR Coordinator who is comfortable working in an entrepreneurial and fast paced environment with excellent coordination and administrative skills. The HR Coordinator will report to the HR Manager and will work alongside the HR centralised team. He/ She will support the Office, Marketing, Retail, Operations, Legal, Retail, Finance and Retail Development teams based at the Village in any HR related matter.


KEY RESPONSIBILITIES:

EMPLOYMENT ADMINISTRATION

1. Pre-employment Administration / Recruitment

？ During the Selection process
? Arrange/coordinate the candidate interview and selection process including briefing agencies when appropriate
? When appropriate, liaise with Recruitment team to arrange the placement of job advertisements on public channels.
? Obtain feedback from interviews and monitor status of candidate searches, sending out letters where required
? Where appropriate, pre-screening CV’s for interview recommended to HRD and managers
？ On-boarding
? Notify Office Manager and IT of new comers and their set-up requirements and ensure that new comers are added to the relevant IT distribution lists
? Create new employee files (HR Database and hard copy)
? Request and follow up on employment references
? Prepare induction plan for new comers in cooperation with line manager and follow up to ensure that induction plan is completed.
? Assist HR Manager for documentations of contract signing
? Assist HR Manager to give new starter training on the HR dbase.


2. Employment Administration

? Administration of all benefits locally and with group
? Manager monthly payroll attendance data with HR system.
? Support HR Manager with the coordination of the annual and mid-year performance review processes. This includes filing the hard copies and recording the results, specifically any under-performers and development needs
? Draft correspondence to employees relating to promotions, salary increases, etc.
? Ensure that reminders are set up for regular catch-ups between HR Manager and new starters
? Ensure that the HR Database and employee files (hard copy) are up-to-date
? Keep holiday and sickness records up-to-date and ensure that HR team is kept informed
? Prepare Statistics of all kind

3. Post-employment Administration

? Monitor leavers, ensuring that the appropriate leaver paperwork is completed and their files are archived
? Liaise with IT / Office Manager to ensure that all company property is returned and leaver is removed from contacts / distribution lists
? Organise exit interview with HR Manager


GENERAL HR ADMINISTRATION

? Assist with any ad hoc project work in view of for example of office events.
? Assist HR Director on travel plans
? Keep track of important deadlines and remind HR Director
? Responsible for filing and archiving



SKILLS AND QUALIFICATIONS

? Minimum 2 years’ experience in preferably an international HR role, within a large rapidly changing and fast paced global environment.
? Ability to work under pressure in a fast-paced environment
? Self-motivated, able to manage own time and work with ‘remote’ colleagues
? Accuracy and attention to details, a lover of ADMIN work
? Confidentiality and discretion are essential
? Fluency in English, both oral and written
? Good communication skills
? Flexible – able to multi-task – and proactive
