Job responsibilities:
- Provide secretarial support to Management level, including:
- Organize internal conferences and meetings with clients and visitors, take meeting minutes, keep documents;
- Coordinate events, prepare equipment and materials, and communicate with all relevant parties;
- Make travel arrangements, including hotel, transportation, etc.;
- Select suppliers and request quotation;
- Maintain and purchase of office consumables / equipment / software;
- Collect staff reimbursement and suppliers payment request, and make scan copy for accounting purpose;
- Maintain and keep office documentation in good order and ensure security, confidentiality and information retrieval;
- Translate documents when needed;
- Answer phone calls in a friendly and professional manner;
- Maintain a good working environment for all staff;
- Handle expatriate’s passport, visa, work permit, letter of invitation and residence registration.
- Other ad-hoc duties assigned by managers
Requirements:
- Bachelor degree or above
- At least 2-3 years of relevant admin experience with multinational company
- Fluency in both written and spoken English and Italian is a plus
- Good interpersonal and communication skills, friendly and cheerful, with appropriate common sense and flexibility
- Diligent and patient, capable of dealing with multi-tasks in an organized and detailed manner
- Self-motivated, well-organized and stress-resistant, with good problem solving skills
- Aptitude in standard computer software, including Word, Excel and PowerPoint.
- Able to independently deal with emergency issues in a quick, calm and assertive manner
