职位描述
Position Summary: Receive incoming calls & guests, keep record of office supplies and attendance, and ensure an orderly and tidy working environment.
Essential Functions:
1. Receive guests, phone calls, couriers, newspaper and letters with an emphasis in service oriented attitude
2. Update company directory list and calendars.
3. Double check air ticket date and price, hotel check-in and check-out date and price for accounting department.
4. Record all lateness, early-leave, sickness and personal leaves. Submit attendance sheet on a weekly basis and vacation sheet on a weekly basis.
5. Prepare and keep track of all delivery items and prepare monthly reports for accounting department
6. Organize lunch menu and delivery services for dining
7. Supervise the work performance of the cleaning ladies.
8. Contact general corporate vendors, including but not limited to coffee bean, drinking water and book vendors.
9. Ensure tidy environment for the company, clean out loose papers and documents, keep stationary and counters organized
10. Prepare and organize record of all office supplies.
11. Organize and record the use of corporate books, mobile phones, USB devices, camera and projector.
12. Switch off all lights and air-conditioners after work. Check the status of microwave and fridge periodically.
13. Assist expatriates when necessary.
14. Record class attendance for English/Chinese language training.
15. Receive guests and provide refreshments
16. Assist the administration department.
17. Translate documents as required from Chinese to English or English to Chinese
18. Provide other tasks as assigned by manager
Minimum Job Requirement:
1. Local Chinese
2. Fluent in English
3. Degree from University
4. 1-2 years work experience in service industry (preferred)
5. 1+ years work experience as receptionist (preferred)
6. Ability to work independently
7. High ability to multitask and prioritization skills - Must
8. High level of customer service attitude
9. High level of team work and leadership skills
10. Willing to work overtime when required
11. Detailed orientated
12. Proficient with MS Office: Word, Excel, Outlook
13. Ability to communicate professionally with people at all levels of the organization
14. Willing to work outside of job scope when required
Working Conditions:
1. Requires ability to lift of up to 15lbs
2. Requires walking, bending, sitting, standing reaching and climbing
3. Some exposure to climate change
4. Requires use of hands
