Typical Responsibilities:
- Answers departmental telephone lines; provides callers with responses to all types of requests, both routine and those requiring research and follow-up; directs calls to the appropriate person or takes messages. Develops alternatives to handle requests when many times the problems are not clearly identified or involve sensitive issues. Routinely responds back directly to the caller after performing research or follow-up.
- Utilizes word processing software to produce a large volume of legal documents in Chinese and English, which requires knowledge of legal terminology and familiarity with a variety of legal documents. Process involves extensive skills in editing, redlining, grammar and proofreading.
- Composes all types of correspondence or documents in Chinese and English, many times on behalf of the supervisor. Correspondence may be directed toward outside owners, outside attorneys, customers or senior level executives. Typically drafts correspondence under own signature. May compose first drafts for routine contract documents and amendments in Chinese and English.
- Researches questions and problems regarding departmental or administrative policies, procedures, information or services, including questions, which are complex in nature. Research typically requires obtaining data from multiple sources.
- Researches legal files to locate documents or sections of documents or to extract information needed by an attorney or department.
- Makes travel arrangements for attorneys, prepares expense reports and invoices for processing through an automated administrative system. Performs research and follow-up necessary to solve problems encountered.
- Reconciles outside attorney billings, which involves research and follow-up on unusual items.
- Schedules appointments and meetings, evaluating alternatives and making decisions regarding pricing and logistical issues.
- Develop databases or spreadsheets, and uploads and download corporate documents from Company intranet.
Typical Knowledge and Experience:
- Position requires a complete knowledge of legal terminology, types of legal documents and a full range of administrative processes typically gained through a number of years of extensive legal secretarial experience.
- Position requires complete knowledge of the mission, functions, organizational structure, policies and procedures of the Law Department and a general knowledge of those pertaining to the Company. Incumbent is viewed as a resource to others concerning these areas.
- Position requires expert knowledge of advanced functions of Windows XP and Microsoft Office Tools, including MS Word, PowerPoint and Excel, and may require a working knowledge of other business software packages, including spreadsheet and graphics packages.
- Position requires a complete knowledge of legal filing systems including permanent document filing and retention procedures.
- Position requires a bachelor degree, good command of both Chinese and English knowledge, oral and written, and good communication skills.
- Position requires at least three years of experience as legal secretary, executive secretary or other similar work experience with a foreign-investment enterprise or law firm, or a respected domestic enterprise.
Compensation:
- In line with market rates in Beijing.
