OCG is licensed distributors and partners of leading global HR consulting companies. This includes Hogan Assessments Systems, POP (Sales Potential Assessments) and EQ-i. Our clients consist of Global Fortune 100 companies as well as large local conglomerates.


REPORTING RELATIONSHIP
The incumbent reports functionally to the Assistant Director, Finance and Administration, Asia based in Singapore and the MD, Greater China (hereinafter refer to as “Supervisor”)
LOCATION: Shanghai


ROLES AND RESPONSIBILITIES
The incumbent’s scope of work includes, but is not limited to, the following areas:

- Manage country office operations for Optimal. This includes, but is not limited to, the following areas:
o Oversees the whole administration functions, inclusive of office security, telephone system, office equipment & maintenance, office renovations, stationery, printing, and general insurance;
o Administer salary, claims, statutory payment, insurance and any other Optimal employee related payments;
o Manage supplier - This includes sourcing and negotiating for the most competitively priced suppliers, conducting audits to ensure quality and managing payment;
o Manage administrative staff under his/her supervision (e.g. driver, office boy, cleaner, and etc.);
o Develop and periodically review administrative process, procedure and system for the efficiency of the operations.
o Support the management of invoices and collectibles from clients


- Manage Events for company and / or product launches, public and private seminars and / or workshops held by the Optimal. This includes but is not limited to the following areas:

o Select appropriate venue for event, liaise with hotel banquet staff and administer all necessary documents to secure a proper venue.
o Prepare and send event brochures to targeted clients, follow up with clients, and prepare all necessary materials and / or resources.
o Transport or arrange for transportation of all materials and equipment to and back from event venue.
o Research on workshop participants’ background.
o Schedule pre-workshop activities

- Support Business Development for company. This includes but is not limited to the following areas:
o Prepare brochures before client meetings
o Research on clients’ background
o Research on client contacts for databases.


IDEAL CANDIDATE
The ideal candidate should be a new Degree holder with none or some experience.
