职位描述
1. Receptionist Work:
· Picking up phones following the rule of "office hour" announcement, kindly answer the phone call with good manner and suitable attitude.
· Basic reception functions to arrange the visitors in a proper way.
· Business cards arrangements; Confirm employees' information with HR and send correct information to suppliers.
· Purchasing and quotation for office supplies such as drinking water, flower stationery, coffee, tissue, notebooks, binders, pens, etc. Take care of Departments subscription of the newspaper, magazine, etc. Comparing the price and service and try to get good quality and service with a competitive price. Keep carefully the original records of the office supplies' purchasing list for each Department. At least monthly cross-eye's check to Office Supplies' Inventory Record kept by Administrative Assistant; weekly stock list sending to office manager following according process
· Updating the purchasing application forms and giving every purchasing a reference no.
· Do mail distribution and guarantee the mail reach department secretaries. Send Fed-Ex, EMS, etc. for departments .
· Contact, follow-up and travel arrangement for other rep. offices which come here having business trip, such as train/air-tickets price comparison, bookings, timing/route change, hotel booking, route design, etc. Keep lower cost and provide efficient service and follow up each travel agenda.
· Take care of the conference room's booking and updating.
· Share some department secretaries' work if they are not available or if they are very busy.
2. Support HR Dep. In terms of Personnel Affairs:
· Contact which department secretaries to know employee's travel schedule. Record the business leaves and send weekly business memo to HR China.
· Updating Shanghai & AP office contact list and in case of personnel info changes, sending to all relative employees on frequent basis.
· Try to learn to arrange Interviews, contact with the candidates in a professional way, etc.
3. Comprehensive Skills:
· Good communication with relative departments, and be willing to be supervised and keep supervisor informed. Willing to accept any assignment and arrange issues within the accountability.
Obey the company policy, rules and regulations. Be willing to follow and updating job description and criterion based on the company request. Be coach-able and be able to improve the performance behaviour after coaching/training, etc.
