With the business growth, the company is continuously looking for talents to develop with the company: Office admin and sales support coordinator 办公室财务行政助理 (实习生可以转正)to support sales and marketing team, based in Shanghai
Job Purpose:
In order to support the fast growth of Lingmed Shanghai office, we are looking one office admin and sales support intern to support sales team and the founder to reach the company sales and marketing target; take care of the company accounting and admin related topics
After 1-2 years, this role has the opportunity to develop into office manager
Title: Office admin and sales support coordinator 办公室财务行政助理 (实习生可以转正)
Report to: Sales director
On board date: ASAP
Key responsibilities and accountabilities:
Accounting
* Track office cash flow
* Work with 3rd party vendor to ensure timely tax report monthly
* Good weekly and monthly office accounting reports
* Follow up sales contract to invoice and collect payments timely
* Support Lingmed office bank accounts and develop good weekly and monthly financial reports
Admin
* Support office daily operation
* IT and other office equipment purchasing
* Travel arrangements
Sales / marketing support area
* Sales coordinate on sending out solicitation emails and meeting set up
* Set up internal meetings, send calendar invitations to participants and book rooms accordingly when needed
* Ensure all documents / contracts are properly scanned and filed properly
* Follow up on sales contracts to ensure timely signed/chopped and sent when needed
* Contract and invoice follow up: Answer and follow up on calls to confirm meetings or to track the status on contracts/procurement, Support payment process by providing documents or communicating with client’s finance department
* Ensure all new sales person IT related issues are timely resolved
* Flexibility in learning to work with new product areas and addressing diverse pharmaceutical client needs such as new product launch, product licensing, sales operations optimization etc.
* Good weekly and monthly reports to BD director
Requirements:
* University or above本科或以上学历
* Excellent spoken and written English (英语6级或以上)
* Good problem solving capability
* Good accounting knowledge with some experience preferred
* Healthcare industry knowledge is a plus
* Good listening skills
* Good team player
* Good communication skills
* Highly self-motivated, driven and results-oriented
* Pleasant personality with self-confidence, open minded and easy to interact with individuals with different cultural backgrounds
* Good cold call skills
