Job title: Team Assistant
Department: Crisis and Security Consulting
Manager: Director, Crisis and Security Consulting
Job purpose:
Team Assistant provides administrative support to the Crisis and Security Consulting team.
Tasks and responsibilities:
- Prepare invoices / subcontractor expenses / various standard contracts under the instruction of consultants
- Provide support to various Dynamics input (e.g. quotation building, timesheet, invoicing) - case manager / consultant will provide the actual quotation / time / client details, Team Assistant will input those into the system).
- Assist the team to follow-up overdue debtors and laise with the Finance Dept for the timely management of payment to subcontractors
- Ensure all the team members are fulfilling their timesheet / expenses responsibilities on time
- Assist to manage contracts, time and expenses for subcontractors
- Provide support to all other non-case related ad hoc tasks
Knowledge and experience
Essential:
- At least a college degree
- English and Mandarin (fluent)
- Computer literacy
Preferred:
- Some knowledge of or experience in a business environment
Skills and competencies
Service:
- Detail-oriented and thorough
- Dynamics-trained
Communication:
- Effective communication skills required - written and oral ability to communicate with team members and other employees in overseas offices.
- Comfortable asking questions
Relationships/Personal:
- Interest in and ability to work as a part of team, which may include working with colleagues in other offices and countries
