Your responsibilities will focus on:
To carry out editorial and production administrative duties associated with the processing of manuscripts submitted to and published in the Journal(s) assigned, efficiently and in accordance with procedures and deadlines.
Duties include accurate record-keeping on the workflow article management systems/databases ScholarOne and any future article management systems. To be responsible for the journal mailboxes ensuring that all queries are handled promptly and effectively whilst maintaining confidentiality where required. To carry out production procedures efficiently, according to workflow requirements. To chase authors, referees and suppliers as required.
To provide administrative support to the Journal team(s) with a range of commissioning activities. This will include retrieving data from databases, sending mail merges, carrying out times to publication and competitor analyses.
To liaise with any Associate Editors or their Secretaries regarding manuscripts submitted for publication and other issues as required.
To respond to general queries from potential authors in response to commissioning activities.
To arrange Editorial Board meetings, input into papers required and collate and distribute the agendas and papers according to deadlines. To maintain Editorial Board lists.
To provide support to Journals Development PA Coordinator for their activities as required including providing cover when absent.
To provide administrative support for the Executive Editor and Deputy Editor for their external activities. This will include arranging registration, exhibits etc. for symposia and conferences; arranging site visits; collating statistics; organising conference exchange agreements; liaison with Administrator, Beijing over travel arrangements.
We are looking for:
Fluency in both Chinese and English.
Previous administration experience is required.
Must be efficient and highly competent in the use of software packages associated with PCs. The role holder should also have the ability to open file attachments of a wide range of software.
Good organisational and time-management skills are required together with the ability to work under pressure and to meet deadlines.
Good communication skills in interacting with internal and external contacts are essential.
Proven ability to work as part of a team.
Previous experience in STM publishing would be an asset.
Experience of a database tracking system is desirable.
