职位描述

Responsibilities

? Serve as primary administrative support for the Business Office including managing and ordering office supplies, collecting and distributing mail, making meeting arrangements and taking meeting minutes, managing filing systems, drafting brief letters and other administrative tasks as they arise.
? Process daily financial administration responsibilities including collecting financial receipts, distributing cash advances and recording office expenditures for Business faculty and staff.
? Assist Business faculty and staff planning and executing student programming and in responding to student requests and inquiries.
? Provide administrative support to Business faculty by ordering computers, managing equipment and asset onboarding and returns and liaising with operational departments.
? Support external visitors by serving as the visitor’s primary point of contact, setting up the visitor’s office if necessary and coordinating the visitor’s local transportation and travel arrangements.
? Coordinate logistics for on site and off site programs and events such as making reservations with vendors and venues, scheduling attendees and speakers and preparing program documentation.
? Liaise with associates in various other departments to ensure shared goals are met.
? Other tasks as requested by the Dean of Business, Vice Dean of Business and other staff in the Business Office.

Qualifications

? Required Education

Bachelor’s Degree required, Master’s Degree preferred.

? Required Experience

? 2 – 3 years’ experience in administrative support, preferably experience at the executive assistant level.
? Prior experience with higher education and multicultural work environment, or start-up organization preferred.
? Previous working experience in China preferred.

? Required Knowledge, Skills, and Abilities

? Fluent English skills required, Fluent Chinese skills preferred.
? Excellent written and oral communication skills.
? Strong time management and multi-tasking skills.
? Strong organizational skills, attention to detail, ability to adhere to a deadline and ability to prioritize competing demands.
? Ability to work cooperatively and productively in a multicultural team environment with all levels of professional, technical and administrative staff.
? Must be able to handle sensitive information with confidentiality and diplomacy.
? Proficiency in Word, Excel, email and use of the Internet and web based systems.
