Position Summary
The Associate for Administration is a member of the Office of Research Institutes at NYU Shanghai, and primarily provides administrative supports to the directors and faculty at the NYU-ECNU Institute for Social Development at NYU Shanghai. S/he will report to the Senior Associate for Administrative Support and play a key role in faculty support for research institutes and programs.
Responsibilities
? Manage administrative and logistic tasks for the Institute. This includes:
? Establishing contact database for the institute;
? Expense reporting and reimbursement;
? Arranging the payments to invitees;
? Gather information via desk-based research as needed;
? Meetings arrangements, taking minutes, filing, draft agenda and brief letters, etc. ;
? Logistics support for visitors, such as agenda and traveling coordination;
? Using a range of office software, including email, spreadsheets and databases; managing filing systems;
? Recording office expenditure;
? Maintaining supplies of stationery and equipment;
? Coordinating the necessary facility upkeep and repairs;
? Responding to enquiries and complaints;
? Routine collect faculty updates for newsletters, website;
? Provide support to other Research Institute members as required: this may include weekly and monthly seminars, international NYU Shanghai exchange and day-to-day administrative tasks.
? Assist the Program and Communications team in planning and program delivery as appropriate.
? Provide general translation and interpretation from time to time;
? Assist Senior Associate in providing routine and ad hoc reports/updates as required.
? Hard working and able to be flexible in working on tasks and schedules as requested.
? Others tasks as assigned.
Qualification
? Required Education
Bachelor degree, Master degree preferred
? Required Experience
? 2 years’ experience in administrative support
? Preferred prior experience with higher education and multicultural work environment, or start-up organization
? Required Knowledge, Skills, and Abilities
? Strong verbal and written communication skills in English and Chinese. Experience with a service-oriented role, with experience of effectively negotiating and setting up new guidelines and processes. Experience with handling sensitive information and relationships, with confidentiality and diplomacy.
? Ability to handle difficult situations on occasion, and work with others towards a solution.
? Strong organizational skills, attention to details, ability to adhere to deadline and prioritize resource and workload as necessary.
? Ability to work cooperatively and productively in a multicultural team environment with all level of professional, technical and administered staff. Ability to network and build relationships.
? Proficiency in Excel, Word, PowerPoint, Email and the use of the internet and web based ordering systems.
