职位描述

JOB DESCRIPTION

Job Title: Office Manager
Reports To: EA of CEO

PURPOSE OF POSITION:
Provide proactive administrative support and assistant to the Cachet Senior Management and the wider Cachet team based in Shanghai. Act as office manager for the Cachet offices in Shanghai.

MAIN ACCOUNTABILITIES AND SUPPORTING ACTIVITIES:
Manage Diaries for Senior Management
Proactively organise and manage diary of Senior Management as required
Arrange all travel and hotel bookings for the Senior Management and team including producing detailed itineraries and appointment schedules
Liaise with Cachet customers to arrange meeting dates between customers, Senior Management and other attendees
Co-ordinate all internal and external meetings and events for the Senior Management and team, including booking internal and external venues, facilities, refreshments etc

Manage Routine Administration
Ensure all necessary paperwork is ready for meetings
Conduct research, assemble and analyse data to prepare reports and documents
Manage follow up of action points from internal and external meetings
Complete expenses each month as required
Manage mailing of items by courier and post from the Cachet offices

Provide Secretarial Support to Senior Management and team
Prepare and edit correspondence, communications, presentations and other documents for the Senior Management
Proactively manage in-tray, daily post and emails for the Senior Management
Act as first point of contact for the office, manage incoming phone calls, greet visitors and take/pass on messages
Take minutes of meetings where appropriate

Represent Senior Management and team
Welcome visitors to the office and act as host for international visitors arranging hotels, transport and meetings as needed
Develop and maintain relationships with Cachet international offices and Cachet customers
Manage department messages and communications

Manage the Cachet office facilities and infrastructure
Maintain office and kitchen supplies, liaising with external vendors to achieve the best prices
Manage computer based and paper filing systems and documents for Cachet offices
Manage the set up of all new employee workstations and co-ordinate induction programmes for same
Sourcing products and information for the offices
Set up and continually review operating practices and implement improvements where necessary

Fulfil other duties as required
Co-ordinate project work as required

PERSON SPECIFICATION
Experience Skills Competencies
Experience in working as a PA in a large organisation
Experience working at senior management/Managing Director level
Experience working in an international capacity
Experience in Office Management
Graduate/degree level education
Excellent organisational and planning skills
