Position Title: Intern(Personal Assistant)
Division:Administration
Position Summary:
Reporting directly to the Director of the company, this position primarily provides wide range of day-to-day administrative and secretarial support to the Director.
Responsibilities and Duties:
1. Assist the Director in her daily routine;
2. Prepare documents, correspondence, reports and contract in a timely and accurate manner;
3. Make necessary arrangements for business conferences, trips and events, video conference and con-calls;
4. Handle financial application and reimbursement for the Director;
5. Work as a contact between different clients or overseas office and help coordinate various relationships;
6. Source, compare and negotiate with suppliers for necessary services to operate business; sign and update service contract;
control and allocate all operating expense; keep documentation of supplier quotations, invoices for future sourcing reference;
7. Provide necessary admin support to the client servicing team;
8. Support the Director in monitoring client project expenses; keep an close eye of master quotations and supplier payments; develop
various project cost control reports for Director and Account Directors;
9. Arrange apartment, hotel accommodation, insurance and work permit documents for expatriates;
10. Monitor staff leave status and daily attendance;
11. Organize office activities and help build up good communication environment and work atmosphere;
12. Monitor office tidiness and IT compliance from all staff;
13. Control and maintain an updated inventory of office equipment;
14. Required to work overtime and off-office for company work;
15. Any other reasonable tasks as assigned.
Both Chinese and English CV are required.
