ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all-inclusive.
? Full spectrum of secretarial support to the Senior Executive, involving communications, data management, calendar management, planning of executive team meetings, travel arrangements, expenses management, filing, stationery requirements.
? Effective time / calendar management in scheduling of meetings and appointments with and outside DaVita.
? Organize flight schedules, hotel arrangements and travel itinerary as well as business entertainment arrangement for DaVita visitors and clients.
? Assistant to prepare correspondences, agenda and record minutes and prepare presentation materials for review.
? Ensure highest confidential level when dealing in all matters.
? Work with hotels and other frequent travel providers to negotiate better rates.
? Perform front desk reception duties such as handling of all incoming calls and receiving visitors and vendors and direct them to appropriate contact.
? Handle all incoming and outgoing mails, liaison with the courier company, express delivery services.
? Maintenance of office equipment such as telephone, copier, fax, shredder, printers, mobile devices, coffee machine and fringe.
? Maintenance of meeting rooms and pantry, including organizing of food & beverages.
? In-charged of organizing teammate’s birthday celebration.
? Handle office supplies such as stationary, business card management and general printings.
? Handle office pantry products replenishment such as beverages and snacks and ensure there is sufficient stock.
? Supervise of office part-time cleaner ensure the facilities is maintained and is clean, orderly, appropriate for visitors and teammates.
? Support Director Level on travel arrangements – flight reservation, hotel accommodation, visa application and prepare travel itinerary.
? Support Director Level in preparing and processing all expenses claims (travel, entertainment, medical claims, etc.).
? Coordinate with the Landlord of our facilities on all building and related matters.
? Coordinate logistics support for overseas teammates and visitors such as accommodation, transportation and etc.
? Handle allocation of office seats, renovation and office layout for future expansion.
? Coordinate with external IT vendor regarding troubleshoot and provide IT support to our teammates.
? Any other ad-hoc duties such as general office administration, new start set-up, etc.
MINIMUM QUALIFICATIONS
Education, licenses, certifications, and experience required to fulfill the essential duties, include computer skills as required.
? Diploma qualified with minimum 3-5 years of experience or more as a Secretary in a fasted paced changing MNCs environment
? Proficient in MS Office applications
? Familiarity with international arrangements and time zones
? Cheerful, pleasant disposition and display a high degree of professionalism
? Strong team player and able to network and build strong effective relationship
? High degree of problems solving skills, meticulous, independent, resourceful and ability to multi-task
? Ability to maintain sensitive and confidential information
? Demonstrated flexibility and ability to adapt easily to changing needs and to follow through on tasks and assignments
LANGUAGE SKILLS
Fluent in English and Mandarin, both written and verbal skills necessary to perform successfully the essential functions, duties, and responsibilities of the position.
