职位描述
JOB TITLE: Admin Assistant
General Requirements:
College degree in Secretary, English or Admin Management major
Above 2 years working experience in admin or business field in multinational company , preferably as an assistant providing administration support to a team
Team player with sound experiences in coordination with various departments and outside customers/suppliers for tasks accomplishment
Certain experience in organization of various functions, e.g. meetings, visiting, etc.
Good computer skills like Word, Excel, Outlook, PowerPoint, etc
Proficient in English and Mandarin
Good interpersonal, communications skill and Time-management skills
Well organized, details orientated, efficient, highly responsible, accurate, team-spirit and self-motivated
Ability to work independently and under high pressure
Job Responsibilities:
- Purchasing – Office Equipment/Amenities
- Management in deciding on the source of required goods.
- Compile and update a Preferred Supplier List bi-monthly in order to keep abreast on market prices.
- Co-ordinate the ordering of office equipment, stationery for all internal customer
- Purchase items as directed and within well-established guidelines, and inspect delivered goods.
- Company assets deliver to staff and keep record, process staff exit handing over
- Follow up with vendors to ensure meeting required delivery lead time.
Administration
- Handling incoming telephone calls, receive & dispatch express mails
- Taking care reception counter, arrange various payment settlement
- Handling stationery requests, printing works
- Office drinking and foods ordering
- Shuttle Bus and company care dispatching
- Regular communication with service provider including printing company, courier company, building management office etc.
- Perform general duties in office administration such as office renovation, office equipment maintenance, carpet cleaning, courier service etc.
- Coordinate with Building Management for centralized services such as electricity supply, air-conditioning etc, or during emergency.
- Compile and update regularly a list on all company contracts kept by Admin. Dept.
- Notify concerned officers well in advance before expiry of contracts, leasing agreement etc. for renewal without interruption.
- Coordinate the renewal of Liaison Office business license.
- Coordinate the scheduling of the Office Assistant/Driver’s outdoor duties.
- Perform any other duties assigned by reporting supervisors.
- Arrange appointments; organize meeting, conference and special events both internally and externally when required.
- Co-ordinate the ordering and distribution of corporate gifts, company literature.
c. Others
- Be knowledgeable of the Company policies, standards and procedures.
- Collect and analyze data and present findings on problems when required.
- Handle special project assigned by the reporting manager.
