Responsibilities:
- Meeting coordination and associated logistics arrangements
- Calendar management for Executives of the team
- Schedule internal and external meetings
- Make travel arrangements and develop monthly travel cost estimates
- File expense reports for Executives of the team
- Vacation plans tracking
- Provide routine meeting document support, including translation (English to Chinese and vice versa), basic desktop research, etc.
- Liaise with other Functions, Executives and their Administrative Assistants, both locally and internationally as required
- Handle routine correspondence and telephone enquiries which do not require Executive attention or refer them to appropriate parties
- Be the department lead person for fire drill coordination, emergency call tree coordination and other company-wide/cross-functional activities as appropriate
- Serve as alternate secretarial/administrative support for the Office of the GM China President as required
Qualifications:
- 3 – 5 years of administrative assistance/secretarial experience, 3 of which should have been spent serving senior management
- A good command of English is essential, as well as good oral and written communication skills
- Understanding of and ability to work with different cultures
- Bachelor’s degree is a must, with English major preferred
- Experience in a multinational company, liaising and communicating with top-level management, particularly expatriates, is required
- Excellent computer skills in MS Office applications such as Word, Excel, Powerpoint, and familiarity with common email applications
- Desire to excel in job performance
- Highly efficient and organized
- High level of interpersonal skills, good team player
- Assertive – confident in speaking with senior management, both local and non-locals
- Maturity – ability to take initiative and work independently with minimal supervision
- Dynamic personality – energetic, enthusiastic, helpful and willingness to learn
