AP Accountant – Trade, Non-trade, Intercompany and T&E

Responsible for the accurate and timely processing of payables to trade, non-trade, and intercompany suppliers; maintains subsidiary ledgers of trade, non-trade, and intercompany accounts; review T&E report and ensure the compliance with local T&E policy and accounting policy.

Specific Responsibilities

--Performs three-way matching for trade, non-trade, and intercompany payables; compares original Supplier’s Sales Invoices (SSIs) against Purchase Orders (POs) and Goods Receipt Notes (GRNs)

--Checks validity of claims involving purchases whether trade or non-trade Checks mathematical accuracy of invoices

--Deals with specific supplier issues as required, especially when disputed amounts are involved

--Records the following payables and encodes the appropriate accounting entries and generates JVs

trade, non-trade, and intercompany payables

T&E claim

--Inform BU Finance for the updates of the maintenance files for each supplier (Supplier Database)

--Monitors due dates of suppliers’ claims to avail of early payment discounts and avoid penalties, if any

--Prepares Accounting Schedules and Aging of AP monthly for the following:

trade, non-trade, and intercompany payables

T&E

--Prepares Goods Receipt Report, which contains received goods with no supporting invoice in SAP and contacts CSR Department for the Invoice

--Ensures that recorded balances of payables to suppliers reconcile with suppliers’ records or statement of accounts before reconciling it with the General Ledger control balance

--Maintains subsidiary records relating to trade, non-trade, and intercompany payables, showing payables and corresponding payments

--Prepares Journal Vouchers (JVs) for any adjustment or correction of errors affecting trade and non-trade payables, after reconciliation is made

--Coordinates with CSR Department for supplier-related issues Communicates with intercompany representative on any disputed amounts or transactions

--Stores files of all accounting and related documents and reports systematically for easy retrieval Follows strictly the prescribed filing, file storage, and records retention policies

--Returns original disbursement package to BU

--Performs other tasks as may be assigned from time to time by the AP Manager.

General Responsibilities

--Ensures that all the important transactions of the department are properly documented and promptly updated in the system

--Ensures that reports and documents are prepared on time

--Ensures that all records and files are properly managed for easy retrieval

--Meets with the superior and other personnel in the department to identify and resolve issues/problems, work activities, and programs, as well as existing systems and procedures --Answers queries regarding the department’s responsibilities and interfaces with the different organizational units

--Ensures that all accountabilities – computers, printers, office supplies, etc – are properly handled and cared for

--Attends training programs and other company-related activities sponsored by the Human Resource Department to help enhance one’s capability

--Practices 5S daily in the work area and maintains good housekeeping in the workplace

--Safeguards/protects the company’s image

QUALIFICATION

--Diploma in Bachelor of Science in Accountancy

--At least two years experience in payables processing

--Must have strong analytical skills

--Must be computer literate in accounting software

--Must be hard-working and systematic

--Must have good written and oral communication skills
