Job Title:RECEPTIONIST/ADMINISTRATIVE ASSISTANT - Shanghai
Responsible For:Provide ongoing admin support to employees and Human Resources Manager.
Administer office areas to ensure professional, reliable customer service is attained.
Provide sales administration support to the sales team.
Reports To:Human Resources Manager, Asia North
Main Activities:Receptionist
- Operating telephone switchboard and handling incoming and external calls;
- Recording incoming messages and deal with certain telephone inquiries;
- Greeting visitors upon arrival to the organisation;
- Handling daily incoming and outgoing mails;
- Booking of conference rooms and other office facilities and also ensure that all meeting rooms are clean and tidy after used;
- Arranging local and international couriers;
- Keep track employees’ whereabouts and attendance;
- Administer employees’ leave application and filing;
- Co-ordinating travel, including travel visa applications and hotel arrangements
- Prepare daily correspondence;
- Performing ad hoc duties as assigned.
Office Administration/HR Administration
- Maintain and order of office and pantry supplies, facilities, stationery and to ensure smooth business operations;
- Maintenance agreements of office equipment such as photocopiers, fax machines and etc to ensure they’re in order;
- Administer Security Access Card System, printing/update access card report, voice mails & office equipment etc;
- Review Suppliers and Vendors’ goods and services including cost
- Oversee building maintenance;
- Assist to ensuring all premises are properly administered in terms of goods and services, storage and distribution facilities, telephone, voice mail, office equipment, telecommunications;
- Assist in supervision of panty lady;
- Monthly expenses report generate and submit;
- Assist in co-ordinate new hire employees on board logistics: work station, facilities, on-board check-list, FESCO notice, stationary and etc;
- Co-ordinate in process of insurance claims (FESCO) for employees;
- Assist in co-ordinate training – venue bookings, participant questions, flight and hotel bookings for trainers and attendees, catering services, welcome signage, training material, sign-in sheet etc;
- Maintaining, filing HR & Admin records;
- Assist in co-ordination of recruitment administration, job post and booking interviews with line and hiring manager;
- Assist in Employee events, if any.
Internal Contacts:All organisational employees
External Contacts:All incoming visitors and telephone calls and suppliers
Key Skills:- Strong Administrative skills
- Hands-on role for someone who has initiative, is pro-active, independent, self-motivated, has patience
- Good communication and interpersonal skills
- Ability to work unattended in a small office environment
- Proficiency in MS Office and Outlook
- Consistently acts in a manner that promotes an open, honest and respectful workplace
- Be able to handle multitask
Education:
Language:College or above (major in English and office administration)
Good Mandarin and English (both spoken and written)
