General Administration
Tasks Description
Position: Major Tasks
Answer phone calls and welcome visitors
- Answer phone calls, filter advertising or selling phone calls
properly;
- Transfer phone calls accurately and timely;
- Take messages when necessary;
- Update employee phone book timely to keep contact information
accurate;
- Greeting visitors, guide and coordinate visitors to register when
they arrive at front desk;
- Inform visiting people when their guests come.
Arrange company vehicles, ensuring usage efficiency
- Arrange company vehicle per request, ensuring usage efficiency by
combine common usage time and route etc.;
- Check GA drivers’ work log and reimbursement application monthly,
ensuring required supporting documents obtained;
- Update and analyse GA vehicle usage/expense data monthly to improve
vehicle service quality;
- Initiate improvement proposal for relevant work procedures and
management tools when necessary.
? Provide office supplies
- Check stationery and other office supplies stock weekly, ensure
safety stock as required;
- Purchase stationery and cleaning items when necessary;
- Receive and deliver goods, check monthly payment request.
General services support for company’s daily operation
- Transfer received fax;
- Help to book/cancel meeting room;
- Order meals;
- Other miscellaneous job related duties as assigned by GA manager.
Office facility repair arrangement and follow up
- Receive office facility repair request, record down broken
facility/device name, brand, and other basic information;
- Contact maintenance team or supplier to repair;
- Follow up on repair process and result, prepare PR for accessory
replacement if needed;
Check general service payment request
- Check and confirm general service payment request, i.e. telephone
fee, printer maintenance, drinking water, ordered meal, insect pest
prevention etc;
- Prepare service expense statistic report monthly;
- Analyze general service expense when required.

- Junior college or bachelor degree majored in English, business
administration or other similar subjects;
- Min 1 years working experiences in receptionist, customer service,
administration or related areas;
- Good oral and written English
- Details and service oriented,
- Have amiable character with good teamwork spirit;
- Have very good communication skills;
- Be able to work under pressure
