职位描述

This position is to supervise the Customer service team, to efficiently and timely manage the order fulfilment processes, proactively handle customers’ request and keep accurate visibility of the forecast in accordance with established operation policies/ procedures and practices in order to secure and enhance business opportunities. To be solution provider for customers.

HSE responsibility

ü Comply with laws & regulation and company HSE rules & procedures.

ü Report to department supervisor/ manager and related department in time if something abnormal appearsResponsible for correcting any unsafe actions and situations immediately;

ü Take part in company HSE training, emergency response drill and fire fighting drill etc;

Customer contacts

ü Act as the first customer contact person to handle customer requests, concerning orders management such as leadtime, order status (tracking), and provide feedback to the relevant sales representatives regarding order status and/or changes.

ü Confirm with customer and sales representatives the latest price and payment terms

ü Built relationship with customer through regular interaction (call or visit)

Order processing

ü Process customer orders (sample incl.)/ changes according to established department policies / procedures after confirming the stock availability and customer product allocation, logistic availability, communicate with customer on relevant information, e.g. delivery schedules and product availability and coordinate with logistics and finance personnel, process customer returns according to established policies/procedures.

ü In some cases (New product, change of formulation…), the tracking of the order status may request a specific tracking of the industrial trials or direct contacts with R&D.

Documentation

ü Review and confirm the L/C application from customers and monitor the entire L/C process for export.

ü Check the documents and challenge internally to get them in time and send them to customer (MSDS, COA, TDS, product stewardship

ü Update monthly the reference manual of various inquiries/ complaints and replies/ solution.

Data management

ü Maintain accurate customer data, sales group, customer mapping and any relevant marketing segmentation.

ü Maintain prices in system according to the validated price

ü Keep the record of the latest contract validated with the customer

ü Is responsible for providing marketing information such as consumer index, polymer index, car production index… to the sales team and potentially profitability info.

Account Receivable Support

ü Work closely with sales to support for account receivable to ensure that the customers honor the sales contract terms.

Monthly forecast and weekly update management

ü Monthly forecast : according to feedback proactively requested to customer, have a critical look at the forecast defined with sales representatives and correct or challenge accordingly.

ü Weekly update : check with customers and sales representatives the status of the customer situation and revise the forecast accordingly

ü In both cases, make sure the forecast or update is correctly imported within our system (APO)

Claim management

ü Follow up the process of complaint, especially for the approval of return and compensation.

Demand management

ü Coordinate with other CS supervisor in case of additional order, rush order, or product allocation.

ü In case of allocation, arbitrate following the input from all parties (all sales directors if necessary).

Management of the CS team

ü APDR of the team, AOP, training plan and follow up.

ü Management of leaves and potentially expenses.

ü Control the work of the team in terms of timing, accuracy and behavior.

ü Management of priorities of each customer service officer according to his/her customers.

ü Reporting the KPI of the Customer service + specific reports: e.g. OTIF-C, visit report, FA analysis…

ü Organization (admin) in case of specific events related to customers and commercial team.

ü Internal communication when concerning the intranet/internet site.
