Job Description: Membership & Corporate Visa Program Assistant Manager
Reports To: Membership & Corporate Visa Program Director



Position In Particular:

? A bridge between Consulate and Member companies
o GTEP Program: contact member companies to help them prepare the application documents and make interview dates.
o Reciprocity Program: contact with Beijing/Guangzhou AmCham for the reciprocity request. After the request approved, contact member companies and help them to use it in the right way and follow up the result.
o Help the Consulate collecting the Company Information & Survey Information from our members.
o Occasionally provide assistance to the U.S. Consulate with traveler return checks.
o Help the visa applicants to contact the U. S. Consulate about the urgent cases.

? Educate Member companies to use CVP
o Explain the Consulate’s Policy and Rules to our members
o Identify possible application problem areas and educate our membership on how to avoid common mistakes.
o Reminding the Corporate Members who have changed their Members should update the signature documents for backup.
o Respond to membership inquiries by phone, email and where necessary conduct ‘face to face’ meetings with members to introduce the benefits of CVP and guide them through the application process.
o Help to arrange CVP Education Events
o Update CVP website for the latest news from U.S. Consulate in both English and Chinese Version
o Contact the Eligible Companies to introduce the advantage of CVP
o Reminding the Suspend companies when they can re-apply CVP

? Prescreening of Corporate member applications to participate in the Corporate Visa Program (CVP).
? Conduct background checks on applicant companies.
? Prescreening of visa applications from employees of CVP participant companies.
? Processing of visa applications and issuing of U.S. Consulate Interview times.
? Tracking of application status and timely response to visa related inquiries by phone and email.
? Collection of visa service fee, issuing of receipts and daily reconciliation.
? Update AmCham Shanghai CVP Database and hardcopy records as member details change.
? Maintain electronic and hardcopy Corporate Member signature samples and designated courier information.
? Monthly reporting on key CVP benchmarks.
? In conjunction with the Membership & Corporate Visa Program Director, conduct quarterly orientation sessions for new participants in the program.
? Conduct regular checks of the CVP Database to verify that all participant details are up to date and consistent with the overall membership database and eligibility requirements.
? Drop-off of applications to the U.S. Consulate Visa Section.
? Take back the Successful visa applications passports and hand out them to the applicants.
? Key in the visa applications information into CVP database every day.
? General administration of the CVP office including filing, photocopying and faxing.
? Reminding the CVP active member renew their membership.
? Assist with the updating of changes to membership information in all our communications i.e. website, New Member Orientation Packages and prospect information packages.



Skills/Experience Required:
? Bachelors degree from an accredited institution in a relevant discipline
? Excellent interpersonal skills and a high level of professionalism
? Strong written, oral communication, presentation and organization skills
? Ability to handle multiple tasks simultaneously
? Strong computer skills including Microsoft word, Excel and PowerPoint
? Minimum 1-2 years experience in customer service
? Supervisory experience a plus
? Fluent written and verbal English a must, Mandarin Chinese a plus
? Honesty, steady, hardships, industrious, fast motion, working down pressure
? Strong attention to details
