职位描述

Objective: 

The position of Administration Assistant (行政助理) shall have a full and overall view of the company's activities internally and externally. It executes the company's administrative strategy. Therefore, a precise and tangible understanding of all stakeholders including clients, target clients, products, materials, procedures and techniques, staff and candidates, supplier base and public relations is developed and maintained. The Administration Assistant (行政助理) is responsible for gathering, editing, updating, maintaining, executing and distributing information to the relevant stakeholders. It aims to have a precise knowledge of the different situations and to provide strategic information to the company's management.   


Responsibilities: 

- Arrange, prepare and follow-up meetings with different stakeholders  

- Documentation of different company activities 

- General Reception tasks 

- Organize and maintain office facility and equipment including office supply and stationaries and keep and maintain expenses 

- Organize business trips, company activities and special occasions and keep and maintain its expenses 

- Organize and maintain company documents and information 

- Support other Departments during peak seasons 

- Taking and making phone calls, translate documents English<>Chinese 

- Keep record of office expenses 

- Maintain information in company's ERP system 

- Arrange guests accommodations including hotel booking, travel arrangements, coffee making, etc. 

- Handling documentation including project documentation when assigned 

- Organize, arrange, record and evaluate office deliveries inbound and outbound including item labeling 

- General administrative and project tasks upon assigned by superior   


 Requirements: 

- Certificate in Business related Studies, English language, Marketing or Trade 

- Preferably 1 year solid working experience in office administration, graduates welcome also 

- Intermediate to advanced knowledge of MS Word, Excel, Power Point 

- Highly organized and straight minded, must be able to work on multiple task simultaneously, should feel comfortable working in a Team 

- Initiative and committed 

- Able to work under pressure and multi-tasking ability 

- Strong relationship building 

- Analytical skills 

- Eye for details, self-motivated, managing own time and workload 

- Creative and flexible solution provider 

- Strong presentational skills 

- Fluent spoken and written English & Mandarin
