A Consulate Commercial Section of a North European Country is searching for a Receptionist


The Receptionist is responsible for providing secretarial, clerical and administrative support in order to ensure that the Consulate Commercial services are provided in an effective and efficient manner. The Receptionist reports to the Manager and is responsible for providing office and clerical services.


Tasks:

Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail

· Answer all incoming calls and handle caller’s inquiries whenever possible

· Greet, assist and/or direct clients and visitors

· Receive, direct and relay telephone messages, e-mail an and fax messages

· Direct the incoming guests and clients to the appropriate staff member or to conference rooms

· Administer all incoming calls, conference bookings, travel reservations, cancellations

· Pick up and deliver the mail

· Develop and maintain a current and accurate filing system

· Assist in the planning and preparation of meetings, conferences and conference telephone and video calls

· Assist in keeping the reception area clean and tidy, at all times

Keep up to date with vendors

· Keep and negotiate hotel agreements, equipment service and agreements)etc

· Maintain an adequate inventory of office supplies

· Monitor the use of supplies and equipment

· Call for maintenance service as needed (Office equipment, IT etc) the repair and maintenance of office equipment



Secretarial Services etc

· Assist the Executive Director and other staff as requested


· Provide administrative services for the Executive Director

· Perform other related duties as required


Office policies

· Be responsible for evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services

· Provide information to our clients

· Fulfill all reasonable requests from our in house clients to ensure good service, satisfaction and safety

· Always adhere to all company policies and procedures and licensing laws

· Carry out instructions given by the management team and head office both to office staff and in house clients

· Deliver excellent customer service, at all times

Requirements:
· Education: Bachelor's degree in English, Human Resource, Office Administration or other related fields;
· Highly motivated individual who can work independently;
· Fluency in Mandarin and English language skills a must (written and verbal);
· Excellent communication skills
· Analytical and problem solving attitude
· Service minded
· Detail oriented
· Computer literate (MS Word, Excel, PowerPoint, MS Outlook etc.)
