REPORTS TO: Events Project Manager/ Head of Events
Key Purpose of Role:
1. To provide support to the Project team in researching and sourcing items and services for proposals including finding new suppliers as required.
2. To provide support to the Project team in contracting and managing suppliers during the planning phase.
3. To provide delivery support on client projects to high standards of excellence, while maximizing revenue and profit for the company, and ensuring client retention and satisfaction.
4. To support the management and administration of the financial aspects of client jobs where directed by the Head of events, Events Director and Project Managers
5. Within existing accounts, to work with Projects Manager and Events Director and others to up-sell current projects, cross-sell BIW’s services and identify new opportunities, in order to maximise revenue and profit per client and for the Company.
- Assist in the development of proposals including research of destination, suppliers and costs affiliated including accommodation, airfare, visa, activities, etc.
2. To play a key support role in the planning of client or internal projects, including supplier liaison, contact with internal resource departments and external suppliers, and administrative work.
3. To play a key support role in the delivery of client or internal projects, including client liaison, and administrative work.
4. To contribute to the financial administration of client projects where directed by the Head of Events/ Events Director and Project Managers, including but not limited to completing timesheets, completing expenses, up-dating budgets and raising draft invoices.
5. To manage the administration and smooth running of client jobs, including taking responsibility for reporting, management of client communication and programme participants including contact reports, call centre calling, maintaining up-to-date electronic and paper files
6. Establish and maintain professional and profitable partnerships with all suppliers, ensuring they understand, are educated in, and adhere to the ethos of BI Worldwide China and its procedures and standards.
7. Pro-actively encourage and engage supplier expertise in the design of new event concepts and modifications to existing event.
8. To work with the Event Project Managers and play a support role in the account development plan.
9. To own responsibility for contributing towards a team GP target.
10. To collaboratively support other team members and departments where required.
11. Maintain current, orderly and accurate customer event files (hard copy and electronic), including allocation of event numbers and required event information for inclusion in the master event schedule, in line with the Shanghai office

Person SpecificationEssential Skills & Experience (key competencies)
Experience· 2-3 years’ experience in major event management & coordination, including program proposal, budget, planning, management, execution, communication, travel & logistics. Business experience shall be in an agency environment, hospitality industry or client-side experience in similar role
· Task management experience, including responsibility for meeting deadlines, reporting on progress, administrative support
· Proven project management skills in managing multiple projects & competing priorities
· Experience in negotiating and managing suppliers
· International experience preferred

· Excellent interpersonal skills, able to build positive relationships at all levels and with all types of people. Energetic, dynamic, resourceful and creative.
· Good communication skills – verbal and written – with clarity of expression
· Good financial skills & the ability to budget, manage costs & control expenditure
· Excellent written and spoken English Passion for quality

· Excellent time management and task management skills
· Good IT literacy, including good knowledge of MS Word, PowerPoint, Excel.
· Occasional travel may be required
