Purpose & Overall Relevance for the Organization:

The mission of the inbound coordinator is to ensure the smooth operation within SCM Dept. in all aspects of related functions.

He/she will achieve this mission by:

·       Contacting agent/broker, shipping forwarder and transportation company for cargo receiving and delivering

·       Be the coordinator among other function departments and 3PLs

·       Daily tracking and recording for open orders

·       Uploading master data or tracking information to system

Key Responsibilities:

Planning

·       Coordinate with order placement team to get the inbound purchase order list with detailed product information, based on the launch schedule to arrange the orders ex-factory timely.

·       Coordinate with freight forwarder/broker for import & domestic inbound delivery.

·       Coordinate with marketing, retail, 3PL/ DC warehouses for goods inbound/outbound and delivery.

Management

·       Perform the daily tracking for inbound delivery and ensure the imported orders arrival with committed lead-time and in good conditions.

·       Documentation for import declaration and preferential duty saving, monitor the whole process of customs formalities and problem shotting.

·       Monitor the performance of 3PL (freight forwarder, Customs brokers, transportation company) with committed service level.

?        Deal with the open claims with 3PL/PO team for those broken/shortage cases of inbound delivery ensure all claims settled properly.

Financial

?        Validate 3PL/ carrier/ Broker invoices based on agreed freight rate in conjunction with financial Dept.

?        Follow the claim issues till it is get fully resolved.

?        Collect Duty and VAT sheet to finance for VAT refund.

?        Collect Declaration form.

?        Prepare related docs and data to finance for Forex payment monthly.

System and Processes

·       Be familiar with company policies and business operations.

·       Be able to resolve problems requiring knowledge of department policies and procedures.

·       Responsible for producing various reports to SCM team members in a timely manner.

·       Ensures correct tracking and freight information are recorded timely.

·       Operation in AFS/HUB/PDM/BIZAGI systems.

Key Relationships:

Internal

·       Purchasing, legal, marketing, retail, finance, tax, logistics, OBF, CoEL, SCI, etc.

External

·       Shipping forwarders, local transportation companies, express/courier companies, Customs brokers, etc.

Knowledge, Skills and Abilities:

Knowledge / Experience

·       Previous experience as an import/ export specialist or coordinator.

·       Be proficient in customs clearance processes.

PC/Language/Other Skills

·       Excellent working knowledge of Microsoft software.

·       Fluent in English & Mandarin

·       Excellent organizational skills

·       Excellent communication and negotiation skills

Competencies/Attributes

·       Self-motivated and able to work independently

Requisite Education and Experience / Minimum Qualifications:

·       College Degree, preferably with an international trade or logistics operation background.

?        Good business sense, at least 2-year experience in FMCG or high-end consumer goods enterprises.
