Administration Assistant 行政助理
GENERAL ACCOUNTABILITY
Provides administrative support to the Human Resources & Administration Manager on all personnel matters and assists with payroll processing and is the designated backup when required.
MAJOR RESPONSIBILITIES
1.0 RECEPTION
a) Responsible for all visitors to EHC, maintains a visitor log book, coordinates and stores visitor confidentiality forms, informs internal staff of visitor arrival, directs all HR inquiries to the HR Dep’t.
b) Directs incoming calls; screens manager calls as requested
c) Prepares Boardroom for meetings as requested.
d) Ensures all visitors are registered and provided with a visitor badge
2.0 GENERAL ADMINISTRATION
a) Orders & maintains office supplies and maintains records for office supply inventory in a cost effective manner and stays within budget
b) Monitors approved ordering procedures
c) Ensures all outgoing mail are delivered in a timely and cost effective manner
a. Ensures employee lunch is at the pre-determined standard
b. Submits the correct number of employees for lunch
d) Coordinates the ordering of work clothes and safety shoes as per procedure
e) Coordinates the laundering of employees’ clothes
f) Responsible for completing daily checks to ensure all office electronic equipment is maintained in good condition.
g) Monitor cleaning staff to ensure the office is maintained at a high level of cleanliness
h) Monitors employees relative to 5S practises
i) Monitors according to procedures relative to arrangement of staff’s transportation requests
j) Manages taxi expenditure to achieve pre-approved budget
3.0 HR ADMINISTRATION DUTIES
a) Assists with the development of Human Resources Policies and Procedures
b) Assists with the compiling of the monthly report as requested.
c) Performs customer service functions by answering employee requests and questions
d) Conducts benefits enrolment for new employees
e) Assists with new employee background checks
f) Assists with processing of terminations
g) Assists with the preparation of the performance review forms
h) Assists the HR mgr with various research projects and/or special projects
i) Assists with recruitment and interview process
j) Schedules events by reserving facilities at local hotesl and/or restaurants
k) Assists or prepares correspondence as requested
l) Prepares new employee files
m) Processes mail
n) Performs other duties as assigned.
4.0 REPORTS
a) Assists with monthly reports
b) Works with department to maintain Balance Scorecard and ST chart
c) Maintains a priority list
d) Submits monthly Admin report
5.0 POLICIES & PROCEDURES
a) Assists with the implementation of HR policies and procedures
6.0 SPECIAL PROJECTS
a) Assists with all special projects as requested.
7.0 QUALITY
a) Provides quality service by following ISO standards and 5S
8.0 HEALTH & SAFETY/SECURING INFORMATION
a) Is responsible for securing all payroll and Human Resources Department information above the current legislation standards.
b) Maintains safe and healthy work environment by following organizational standards and adhering to legal requirements with Provincial, Federal, and local laws by following policies and procedures

d) Is responsible for safeguarding all employee information
e) Is responsible for safeguarding all legal documents:
a. identity of the company such as Business License, corporate approval Certification, and Corporate Enterprise Code Certificate duly reneed as per government regulation.
b. Ensures that every EHC employee signs off the log when taking and returning the documents.
9.0 TECHNICAL KNOWLEDGE
a) Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies
10.0 TEAM EFFORT
a) Contributes to team effort by accomplishing related results as needed
KEY ATTRIBUTES
-College Degree with a major in Business Administration or equivalent.
-At least 1 year experience of proven office administration support in a business environment for an international company.
-Must be fluent in Mandarin, and English – both verbal and written
-Must be able to have above average skills in Microsoft Office,
