We are a group of internationally minded luxury specialists committed to China. With deep knowledge and experience in the China market, we advise companies on their long term brand strategy, developing near term tactical planning for execution across communications, product, and retail touch points.
Currently, we are seeking a well-organized individual for the position of Office Administrator acting as part of our firm's supporting team. This person will be responsible for the general administrative, finance, IT and HR issues, as well as the overall efficiency of maintenance of the office.
Job responsibilities include
· Responsible for efficiently supervising, coordinating and assigning the daily activities of clerical and administrative support staff, ensuring that work is finished on schedule and up to high standard and providing guidance
· Supervise team members to maintain office environment, facilities, furnishings, and equipment at all times
· Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
· Select and manage external contractors/service providers as it pertains to the office
· Working with accounting agency to handle budget planning and control for company's running costs and business related expenses.
· Cashflow management and forecasting
· Ensures proper and timely invoicing of clients
· Ensure all contracts, quotations, payment requests, staff reimbursement applications etc. are all in line with company policy and government law
· Liaise of Fesco for local staff on board or exit procedures
· Handle Expatriate staff work permits and work visa applications & renewals
· Maintains office staff by recruiting, selecting, orienting, and training employees
· Keep staff leave tracking and other HR related information like performance review record and Intern check in/out record.
The ideal candidates will have / be:
· 5-8+ years working experience for similar role in WOFE.
· Strong organizational and coordination skills to handle multiple tasks, and be able to work under pressure
· Results driven and detail oriented
· Good communication ability and good problem-solving skills
· Mature, independent, good interpersonal and communication skills
· Good command of English, with Chinese as a mother tongue
· Attention to detail and high level of accuracy
· Knowledge of Human Resources processes including recruitment and staff discipline
· IT literate and familiar with Microsoft Office
