ROLE DESCRIPTION – SUPPLY-CHAIN ADMINISTRATOR CN

This position reports directly to the Supply Chain Coordinator CN for Acne Studios China Co., Ltd.

    

    

This position works half-time (i.e. 2-3 days/week) from Cargo Services’ warehouse facility in Baoshan Qu, Shanghai, and half-time (i.e. 2-3 days/week) from Acne Studios China’s office in central Shanghai.

    

    

This position is responsible for assisting with the operational and administrational processes connected to the supply-chain CN operations including the collaboration with 3PL CN partner Cargo Services and for specific logistical and financial processes connected to the Acne Studios China’s office in Shanghai.

    

    

    

    

Key Objectives

    

    

- To report to and support the Supply Chain Coordinator CN with the day-to-day management of the 3PL CN warehouse operations including all associated procedures (both operational and administrative).

    

    

- To collect, analyze and report delivery statistics for the CN operations on a daily basis and to follow-up on set goals / KPI:s regularly

    

    

- To assist with supply-chain development projects in general and smaller improvement projects for the CN market

    

    

- To assist with the relations towards key suppliers for the supply-chain CN function

    

    

- To assist the Retail, wholesale and E-tail teams at the Shanghai office with various delivery related matters / issues

    

    

- To assist with the daily Office Order process for the Shanghai office

    

    

- To be responsible for the invoice scanning and matching process connected to the local MediusFlow setup.

    

    

    

Main Duties & Responsibilities

    

    

- Help to ensure that the 3PL CN warehouse delivers and fulfills objectives and directions from the Supply Chain Director for the Group as well as the quality levels, output levels and turnaround times (SLA:s) specified in the contract

    

    

- Proactively monitor the performance of the other stakeholders in the inbound process, i.e. Yichen broker and our forwarders

    

    

- On a daily basis, work proactively to ensure that the highest operational standards are deployed at all times by the 3PL CN warehouse; actively follow up on urgent warehouse issues, communicate task prioritization for inbound / outbound operations and approve additional hours (overtime charges) when necessary

    

    

- Be physically present during at least ~2-3 days per week at 3PL CN to build relations with our KAM and CS rep as well as to oversee the operations in order to be constantly updated about the main warehouse processes

    

    

- Take part in the general development of the supply-chain structure for the CN market by working focused on constantly improving functionality which includes assisting with smaller improvement projects

    

    

- Assist with managing relations with key suppliers for the supply-chain CN function (e.g. Cargo Services, SF Express, YiChen import agent etc.) including general communication, follow-up meetings, optimization projects, etc.

    

    

- Assist with the general order placement process for the Shanghai office towards the 3PL CN warehouse, as well as all other outbound shipments from the Shanghai office, and secure that the required merchandize is delivered to the applicable receiver

    

    

- Assist the Retail, wholesale and E-tail teams at the Shanghai office in delivery related matters and order release functions (including among other things courier claims and other administrative work related to supply-chain)

    

    

- Assist with all orders, returns and employee accounts connected with the Office Order function for the Shanghai office

    

    

- Maintain the database “cleanness” for quality control report, damaged pieces and store material, etc.

    

    

- Monitor the selected shipment service levels and work dedicated to minimize shipment costs for all shipments sent to / from the Shanghai office; secure that Express services are only used if clearly necessary

    

    

    

Key Skills

    

    

- At a minimum, a bachelor′s degree in business administration, supply-chain / logistics, engineering or similar

    

    

- At least one year of professional experience within logistics, supply-chain management, management consulting or business controlling

    

    

- Work experience within retail and/or the fashion industry is also meriting

    

    

- Good numerical/analytical and problem solving skills

    

    

- Proficient interpersonal, communication and presentation skills

    

    

- Proficient in operating within Acne Studios entire IT-structure, i.e. ERP-system Microsoft AX, WMS systems Monitor & eCWMS, production system PDM, analytical tool Qlikview and wholesale portal WSP as well as developed MS Office skills (particularly Excel, Word and PowerPoint)

    

    

- Fluency in English and Mandarin is required, additional language skills are meriting

    

    

- Clear general business sense with an ability to connect operational and financial parameters, both in the short- and long term perspective

    

    

- Clear action orientation with an ability to transfer ideas / directions into action and tangible results
