职位描述
Job Description:
1. Perform cashier duties
2. Work with internal departments to administer Nostro bank account opening/close and bank seal change. Collect and check bank list statement on quarterly basis. Make proper filing.
3. Work with General Manager to organize weekly management meeting and monthly all branch meeting. Take management meeting minutes.
4. Work with Financial Department to administer fixed assets under Admin Department.
5. Administer the office entrance access system and access cards.
6. Administer office keys, safe keys and cabinet keys. Maintain inventory record and spare keys.
7. Manage the purchase, maintenance and repair of the office furniture, equipment and electric appliances.
8. Manage the office filing space, office renovation, relocation, greenery and property management. Maintain good office environment.
9. Assist Head of HR & Admin in office premises matters, liaison with the landlord, property agent and building management office.
10. Supervise the drivers for car repair and maintenance; car insurance and claim; fines.
11. Administer staff on board and exit procedures. Manage new employee registration and HR orientation. Maintain and update the employee database, contact list, SHB phone book, crisis management call tree, CBRC monthly report. Maintain the employee entry and exit database on CBRC website.
12. Manage the printing of name card and production of name stamp.
13. Administer bank chop/stamp production and registration.
14. Second checker of staff OT claim; ensure compliance with the OT policy. Make OT record for Head of HR & Admin to prepare payroll. Second checker of intern attendance record and calculate service fee.
15. Assist Head of HR & Admin in recruitment of non-manager level staffs and interns, including CV screening, telephone enquiries, coordination with head hunters, interview arrangement, reference check, case follow-up, etc.
16. Assist Head of HR & Admin in the branch’s succession planning and talent pool.
17. Assist Head of HR & Admin in training arrangement.
18. Manage expat matters, including relocation and settle-in, bank account opening, apartment and children school coordination, work visa/work permit/residence permit application, annual inspection and renewal, repatriation, etc.
19. Support corporate/customer events and organize staff activities.
20. Manage the annual insurance renewal and all claims of office property insurance, employee medical insurance and travel insurance. Liaison with the insurance company/broker for annual settlement, etc.
21. Backup of the Security Officer. Maintain the office security monitoring and alarm system, liaison with the building, IT and the security company on security affairs. Organize annual fire drill and security training. Organize annual BCP drill and write drill report.
22. Backup of employee coordination support in the crisis management committee. Join annual crisis management exercises.
23. Manage the annual report of business license registration.
24. Manage the biennial application of non-fixed working hours.
25. Make translation when necessary. Coordinate with the translation company for department translation assignment.
26. Manage the vendors of office furniture, copy machine, renovation, greenery, security, property, insurance and translation. Maintain vendor contact database. Manage the filing of service contracts (both hard copy and soft copy). Maintain and update the branch’s supplier database and the department’s outsource vendors database. Support Head of HR & Admin in annual vendor review and contract renewal.
27. Delivery check for payment of admin expenses with cost allocation.
28. Back up the team member at reception during daily lunch time and in her absence.
29. Participate in annual job rotation and mandatory bank training.
30. Any other duties as and when assigned by the Head of HR & Admin.
