The Workday System Specialist will support NYU Shanghai Program Management and the Office of Faculty Affairs (OFA) in maintaining faculties’ data from recruitment to retirement. This position plays a key role in the development, implementation and maintenance of the Workday system. These responsibilities are associated with the collection, retrieval, accessibility and usage of NYU Shanghai faculty information for faculty department planning and activities.
The Workday System Specialist identifies areas of opportunity to improve existing faculty hiring and supporting processes, functionality and workflow, while maximizing technological capabilities to reduce manual processes and to improve data management and efficiency. In addition this position maintains and develops reports and dashboards to meet the requirements from the Provost Office of NYU Shanghai, ensures accuracy and completeness of data in the Workday system, establishing and maintaining security and integrity controls. This individual also trains and provides troubleshooting tips to faculty and other relevant academic administrative colleagues on features and functionality in the Workday system. There will also be close collaborations with the NYU New York Provost Office and NYU Abu Dhabi Provost Office in terms of sharing the best practices for cross campus support, and also serving as a liaison to OFA, Provost Office, HR, IT etc.
The main responsibilities include:
- Enters/maintains faculty data into the Workday system, assures the data integrity in the system and align with the best practices globally;
- Collaboration with OFA Assistant Director to streamline faculty hiring processes and data control in Workday system;
- Collaboration with OFA Assistant Director to learn and maintain the Academic Appointment tracking mechanism in Workday;
- Analyzes and reports the need for the system enhancement or customization;
- Develops and administers Workday system for the needs of NYU Shanghai faculty under the advisement of OFA;
- Recommends changes to current processes to provide more effective use of Workday, and takes the lead as a project manager to implement these changes;
- Works with HR/Legal/Compliance department to make sure the faculty data, processes and procedures are compliant with PRC labor law and other applied laws or regulations;
- Works with global team in the GNU (global network university of NYU) to align the best practices, strategy and compliance with global system IT control policies;
- Develops Workday reports and dashboards to analyze faculty data;
- Creates and maintains documentation of reporting processes and training guides for end users;
- Creates faculty system operation manual to standardize the working procedures and processes;
- Shares and retains the knowledge base inside the Faculty Affair and Program Management team.
Required Education
- Bachelor’s degree required, Master’s degree preferred, with major in Computer Science/ Technology Education
Required Experience
- 2-5 years working experience in HR ERP system (e.g. Workday, PeopleSoft, SAP etc.) or 2-5 years of programming/coding experience;
- Workday related working experience is preferred;
- Experience in working in a multicultural global team is a plus.
Required Knowledge, Skills, and Abilities
- Quick learner and competent with confidential data;
- Project management skills and the ability to manage multiple assignments simultaneously while meeting deadlines and quality standards;
- Excellent analytical, organizational and problem solving skills, including data analysis;
- Excellent Chinese and English language abilities (reading, speaking, writing) with strong interpersonal and customer service skills with both technical and functional end users across all levels of the organization;
- Demonstrated ability to drive efforts to standardize, optimize and simplify processes and technical solutions;
- Demonstrated ability to build relationships, to solve problems, to build partnerships and remove barriers.
