Primary Function
Under direct supervision completes technical paperwork projects. Independently provides certification services for non-technical paperwork projects efficiently with quality work. Communicates with clients and other CSA personnel to expedite the paperwork projects required. Supports the operation by ensuring clients receive prompt service, the administrative duties are completed and by coordinating the information flow for the group.

Principal Duties & Responsibilities
1. Initiates ,holding projects for all paperwork jobs from commencement to completion and grants certification for non-technical paperwork projects in order to meet the customer’s needs. Such paperwork jobs include but are not limited, to Multiple Listings, Transfer/Duplication Projects, Reinstatement Projects, Addition/Relocation of Factory Projects, Delisting Projects, and Authorized Packagers Projects.
2. Coordinates with the Conformity Service Groups to create and process re-examination projects. Responsible for creating e-PRF’s for re-ex projects, generating the letter for re-ex results that are found to be satisfactory, sample disposition, updating profiles and closing out re-ex projects.
3. Informs clients of costs and completion dates , initiates setting up e-PRFs, updating/creating records, profiles and reports for the paperwork jobs.
4. Initiates and completes IFE request forms by forwarding the request to appropriate inspection office.
5. Reviews completed IFE’s reports in order to determine if the product/inspection have passed or failed prior to adding a factory to a file.
6. Coordinates and performs regular administrative work for the group including preparing close-outs, transfers and approve time entries, inputs work orders, sample requests, issues form letters, acknowledges letters, typing, filing, file searches, photocopying distributing standards, bulletins and memos, report preparation. Books meeting rooms and prepares meeting minutes. Maintains department supplies.
7. Assists the group in handling mail, faxes, phone calls, internal correspondence by ensuring the information is directed correctly and by answering inquiries of a routine matter including introducing CSA's certification process. In the absence of any group member, ensures telephones are covered, messages and priority work is directed to a back up is acted upon.
8. Backs up group members in returning calls/letters to customers, providing follow-up information from files, analysts, engineers, lab and other available sources. Provides assistance to word processors and project holders when necessary (including preparation/typing and proofing of Reports, letters, Profile and Certification Records, distributes Certification packages etc.). Advises submitter of job status, progress, follow-up requests and any additional information needed to complete job.
9. Liases with other groups, departments and regional offices to gather information on job status sample, agreements, and any other information required by either side. Records and maintains group members' vacation/floater and absentee records, and also documents group travel schedule. Ensures group records and Human Resources records agree at fiscal year-end.
10. Documents requests for paper jobs can originate from product group management, engineering staff, and client services or directly from clients. Researches applicable file/project numbers, factory locations and class numbers as required. Determines cost of project utilizing pricing worksheets, and ensures all required authorizations are obtained from client. Contacts clients as needed to clarify requests, gathers more information and explains procedures. Requests clients complete confirmation of the findings letter for factory tests when applicable
11. Coordinates with Accounting on a daily basis to ensure all Field Evaluation accounts are up to date, advises group of Overdue Accounts, coordinates with clients, provides invoice and back up report to collect outstanding amounts per Accounting agreements.

Work Environment
1. Normal office environment in the local CSA office.
2. Occasional travel to other offices or outside of the region.

Preferred Education & Experience
1. 3 year college diploma or equivalent
2. 3 years related Customer Service experience.
3. Strong computer skills, MS Office (Excel, Outlook), SAP/CRM
4. Keyboarding (60 wpm)
5. Excellent oral and written communications
6. Detailed and results oriented
7. Some knowledge of engineering and technical terminology.
8. Problem solving skills and conflict resolution skills.
