Be responsible for reception and admin daily management, assist HR manager on daily admin activities.
Reception:
? Review and distribute incoming faxes, send outgoing as required.
? Prepared dispatches letters, magazines, newspapers and other supplies
? Canteen, shuttle bus management and arrange shuttle bus dispatching. Company car using arrangement.
? Prepare conditions for visitors, welcome, register and guide them internally
? Responsible for management of office stationery, drinking water coordinate, coupon purchasing and cost dispatch.
? Receive external phone calls, screen and transfer internally in a professional way
? Maintaining the safety and security of the reception area, reporting any breaches to HR supervisor.
? General office procurement, e.g. Stationery, green plants, courier delivery, business card printing, water etc.
? Information update: e.g. internal phone directory, supplier contact list.
Admin:
- Responsible for receiving all the visitors and arrange appropriately, make sure all visitors are registered in the logbook. Representing company image as the first contact for visitors.
- Responsible for receiving and disseminating all in /out mailings accurately and timely, including daily in city express, domestics /overseas regular post /couriers as well as shipping stuffs.
- Admin related expenses recording & reporting for indirect spending.
- Shuttle bus and canteen management.
- Work closely with Employee Club to organize employee activities including annual dinner, sports meeting, entertainment, teambuilding, etc;
- Admin payment claim, PR& PO Delivery.
