Main Responsibilities:
1. Act as the team leader of Shanghai office Admin department, and be in charge of office administration for some other locations, e.g. Hangzhou, Shenzhen:
– Lead the team members to provide administrative support to ensure effective and efficient office operations, which include:
a. all aspects of general office admin work, facilities & utilities, office replenishment, name card & stationery printing, local transportation for staff & guests;
b. maintenance of proper record & filing for office admin work & documents;
c. settlement of billings, monthly payments and supporting documents;
d. management of office leases, insurance, fixed assets, company vehicles, vendors, office fitting-out, corporate accounts, staff orientation, etc.;
– Approve routine & recurrent office expenses within given approval limit (eg. Pantry & stationery supply)
– Liaise with Senior Office Manager to improve and implement work flows, process and procedure, internal policies within the team;
– Liaise with Senior Office Manager to work out annual admin budget plan and monitor actual expenses;
– In charge of organizing annual dinner and support company activities;
2. Perform as the Executive Assistant and provide full spectrum of secretarial and administrative support to senior professionals:
a. conduct travel management for staff and clients, such as visa, flight, hotel & transportation;
b. prepare business correspondences, reports, agenda, minutes and presentation materials;
c. manage calendars, schedule meetings and conference calls;
d. prepare reimbursement claims;
3. Perform other duties or ad-hoc projects as required.
Required qualifications & experiences:
1. University degree or above;
2. At least 8 years working experience in admin or secretarial roles, at least 3 years in management role;
3. Good command of Microsoft Office software;
4. Fluent in English speaking and writing;
5. Good interpersonal, communication skills;
6. Independent, detail-minded, able to work under pressure and beyond office hours;
7. Proactive attitude and must be a good team player
