JOB SUMMARY
You will be responsible for office admin management, IT support for Shanghai office and sales coordinating for BIC Graphic China.
MAIN RESPONSIBILITIES / TASKS
Admin Management: 40%
-Supervise and assign the work of receptionist, driver and cleaner
-Reservation hotel and submit invitation letter for visitors
-Order all the stationery, water, office equipment, etc.
-Manage residence visa and entrance visa for the foreign employee;
-Office equipment protection and repair
-Manage employee's trip sheet
-Arrange the payment for suppliers
-Manage office documents, business license etc. and renew every year;
-Coordinate with custom clearance for oversea packages
-Manage the packages and send out to suppliers
IT support: 10%
-Verify IT vendor working hour/visiting time and payment report
-Contact with US/FR IT to submit employee account issues
-Maintain manage office all employee IT problem with IT vendor
Sales coordinating: 50%
-Approach existing/potential customers to pitch company’s products and services.
-Engage customers/suppliers via physical visits, phone/email on product enquiries, quotations, order confirmation and outstanding payments.
-Receive customer brief/feedback and prepare proposals to pitch to customers.
-Cross-function collaboration with Finance and Logistics colleagues to ensure seamless operation flow.
-Maintain regular reports, analysis and forecast on current market/product development and trends.
-Provide support in order processing process.
QUALIFICATIONS
-Diploma holder or above.
-At least 3 years of working experience in a customer service role, preferably in consumer goods/promotional industry.
-Fluent in written and spoken English and Mandarin.
-Competent in MS office: Word, Excel, PowerPoint.
-Sales driven, customer focused and relationship oriented.
-Good communication and interpersonal skills.
-Self-motivated, outgoing with a positive attitude.
-Able to handle and follow-up projects independently.
