Position: HR – Admin Supervisor

Scope: Reports to General Manager

The HR Admin Supervisor acts as lead person in the delivery of human resource services with specific responsibility of providing information to employees regarding policies and regulations, addressing a variety of personnel issues and providing general and administrative support.

Requirements and qualifications:

? University degree holder
? Knowledge in the operation of business software (Microsoft Office)
? Excellent administrative skills (attention to details)
? Strong ability to practice and maintain high-level of confidentiality
? Proficiency in email, internet, social media/communication programs
? Fluency in written and spoken English
? Minimum of five to seven years of experience as HR and Administrative specialist in the trading or import/export industry
? Comfortable and flexible with fast-paced environment
? Ability to perform variety of tasks
? Good interpersonal skills and ability to confidently communicate on all levels with senior management and general staff members both orally and in writing
? Excellent interpersonal and customer service skills

Role and Responsibilities - HR
? Assists all departments in sourcing employee candidates and hiring procedures
? Prepares and signs contract with employee
? Conducts employee orientations to apprise them of admin processes and matters pertaining to benefits and policies
? Assists accounting in calculating leaves, salary, social insurance, housing fund and deductions
? Handles employee resignation process
? Assists department managers in resolving issues with staff
? Coordinates with company lawyer regarding legal issues concerning labor laws
? Assists in scheduling and handling employee events
? Maintains records, files and database of personnel, actions, evaluations, licensure, and tenure
? Researches information required including reviews of relevant policies and current practices
? Communicates with other employees, departments, managers for purpose of updating them on personnel movements, legal issues and other pertinent information
? Interprets official materials, documents (employment records, regulations) to ensure compliance with legal requirements
? Reviews and updates of employee handbook on a regular basis
? Assists the General Manager or HR Director/Manager in ensuring that personnel functions conform to all applicable regulatory requirements
? Works with concerned government agencies (Labor, PSB) on various issues like visas, work permits, invitations, etc.
? Supports the General Manager for the purpose of assisting in the performance of their work activities

Role and Responsibilities – Admin
? Supervises and monitors Hr and admin staff
? Applies and prepares/compiles requirements for staff working permit, working visas, travel visas etc
? Arranges travel, meetings and appointments
? Assists in booking air tickets, train tickets, cars, hotel bookings of business travels of staff
? Orders stationeries, supplies and equipment as needed and ensures all office equipment and gadgets in working conditions and coordinates repairs and maintenance of such as needed
? Maintains office services by organizing office operations and procedures
? Reviews and approves supply requisitions and communicates with company lawyer in the review and certifying of contracts with suppliers
? Checks and monitors supplier services and delivery of products that meet company standards
? Monitors timely collection and dispatch of Fedex and domestic pouches
? Reconciles monthly billings of office services etc
? Performs ad-hoc responsibilities for the company

Fownes Brothers established manufacturing facilities in Gloversville and Amsterdam, N.Y. in 1903. In the late 1950’s manufacturing shifted from the US and the Caribbean basin, to the Far East. First came the Philippines in 1959, then Southern China in 1984.
