THE GIG

To provide operations and logistics support to Dr Marten’s Ecommerce business in China

THE STUFF THAT SETS YOU APART

1. Manage the entire (end to end) incoming shipment to China process - work with HQ/HK Operation Team on order status, shipment schedule, shipping instructions and shipping documents.
2. Cross-check results of regular cycle count by third party logistics (3 PL) company
3. Manage day to day communication with 3PL on stock status
4. Report stock discrepancies and findings - confirm all HQ Invoice information - Invoice Number, PO Number, FOB Price, Total Pairs/Units, Total Cartons, etc - and resolves any discrepancies
5. Work with appointed Freight Forwarder to arrange shipment and determine the shipment mode
6. Prepare Shipment Advice and liaise with 3PL Warehouse on cargo receiving process
7. Analyse and resolve any logistics issues that pertain to incoming shipments.
8. Work with Finance Team on payment confirmation and generate invoice in local ERP
9. Manage sales orders
10. Monitor stock management and stock reconciliation in warehouse on a monthly basis - assist in annual stock take and weekly cycle count in warehouse and to report discrepancies
11. Communicate with Operations team in Hong Kong on a regular basis
12. Prepare data reports for financial analysis for Hong Kong Finance team.
13. Assist any projects and take up ad hoc tasks assigned.
14. Perform duties consistent with the company’s goals and policies.
15. Perform other duties as required/assigned by manager.

To be our Operations Administrator, you will also possess these qualities:

1. 3- 5 Years of working experience in Order Administration/ Sales Administration with some freight forwarding exposure
2. Experience gained in Trading companies or brands with Ecom channels in China would be preferred
3. Shoes and clothing/apparels shipping and related business knowledge preferable.
4. Strong numerical sense and excellent MS Excel skills; skills in analysing and reporting data would be good to have
5. Familiar with the import and export business related laws and foreign trade knowledge.
6. A team player with traits like diligence, independent thinking, detail-minded
